Job Description

Requirements

  • Maintain accurate and organized filing systems for all company documents, both physical and digital.

  • Perform data entry tasks efficiently and accurately into various databases and software systems.

  • Assist with general office administration duties, including managing correspondence, scheduling appointments, and handling phone calls.

  • Support inventory management processes by accurately recording stock levels, tracking shipments, and assisting with stocktakes.

  • Provide excellent customer service to clients and suppliers, addressing inquiries and resolving issues promptly.

  • Assist with basic accounting tasks, such as processing invoices, reconciling statements, and preparing financial reports.

  • Ensure all records are kept up-to-date and comply with company policies and procedures.

  • Collaborate with team members to ensure smooth daily operations and efficient workflow.

  • Handle document management, including scanning, copying, and distributing important paperwork.

  • Utilize strong organizational skills to manage multiple tasks and prioritize workload effectively.

Responsibilities

  • Maintain and update accurate company records, including customer information, sales orders, and inventory levels, utilizing data entry skills.

  • Manage and organize physical and digital filing systems, ensuring efficient document management and easy retrieval of information.

  • Handle incoming and outgoing mail, faxes, and emails, directing them to the appropriate departments or personnel.

  • Provide excellent customer service by responding to inquiries, resolving issues, and assisting clients with their needs in a professional manner.

  • Assist with basic accounting tasks, such as processing invoices, reconciling statements, and preparing financial reports under supervision.

  • Support office administration functions, including managing office supplies, scheduling appointments, and coordinating meetings.

  • Conduct regular inventory checks and assist in managing stock levels to ensure product availability and minimize discrepancies.
