Requirements
Diploma / Degree in Business Administration, Office Management, Engineering, Construction Management, or related field.
Minimum 1–3 years of working experience in document control, administration, or related field (Fresh graduates are encouraged to apply).
Proficient in Microsoft Office (Excel, Word, PowerPoint) and document management systems.
Good knowledge in handling and organizing project documentation, reports, drawings, and records systematically.
Strong attention to detail and able to maintain accurate documentation and filing systems.
Able to manage confidential documents and sensitive information professionally.
Good communication and coordination skills with internal teams, consultants, contractors, and clients.
Able to multitask, prioritize work, and meet deadlines in a fast-paced environment.
Experience in handling project documentation, submissions, purchase orders, invoices, or site-related documents will be an added advantage.
Responsible, organized, and able to work independently with minimum supervision.
Possess good problem-solving skills and a positive working attitude.
Responsibilities
To manage, organize, and maintain company and project-related documents in a systematic manner.
To ensure all documents, records, reports, and drawings are properly filed, updated, and easily accessible.
To control and monitor the flow of incoming and outgoing documents, including submissions, approvals, and revisions.
To prepare, update, and maintain document registers, trackers, and filing systems.
To coordinate with internal departments, consultants, contractors, suppliers, and clients regarding document submissions and status updates.
To handle project-related documentation such as drawings, material submissions, technical documents, purchase orders (PO), delivery orders (DO), invoices, and progress reports.
To ensure all documents are properly recorded, distributed, and archived according to company procedures.
To maintain confidentiality and security of company and project documents.
To assist in preparing reports, correspondence, and other administrative documentation when required.
To monitor document deadlines and ensure timely submission of required documents.
To support project and administrative teams in documentation and coordination matters.
To perform any other duties and responsibilities as assigned by the Management from time to time.
