Job Summary:
The Admin Executive is responsible for providing administrative and operational support to ensure smooth daily operations of the business.
This role involves handling documentation, maintaining records, and assisting in back-office processes related to sales, recruitment, and product distribution.
Key Responsibilities:
1. Human Resources Support
Assist in recruitment processes, including job postings, candidate screening, interview coordination, and onboarding.
Maintain and update employee attendance records and leave management systems.
Ensure HR documentation is in compliance with Malaysian Employment Act and related labor laws.
Assist in preparing HR-related letters (offer, confirmation, warning, termination).
Support payroll processing by providing attendance and leave reports.
Act as a point of contact for basic HR inquiries from staff.
Handle confidential documents, reports, and correspondence with discretion.
Liaise with internal departments and external stakeholders on behalf of BOD.
2. Administrative Support
Prepare, update, and maintain company documents, reports, and databases.
Handle data entry for distributors’ registration, orders, and commission records.
Monitor and maintain optimum levels of office stationery and supplies.
Coordinate the procurement of office stationery and pantry supplies (food and beverages) as needed.
Liaise with vendors to ensure timely delivery and cost-effective ordering.
3. Distributor & Customer Support
Respond to inquiries from supplier and customers in a professional manner.
Provide guidance on company procedures, product information, and sales processes.
Assist in the preparation of training materials or events for distributors.
4. Operations & Coordination
Ensure proper filing and documentation of contracts, agreements, and distributor records.
5. Reporting & Analysis
Highlight discrepancies or issues to the Admin Manager for resolution.
6. General Office Duties
Manage correspondence (emails, calls, memos).
Support in scheduling meetings, preparing minutes, and following up on action items.
Perform other duties as assigned by management.
