Job Description

Responsibilities

1. Admin: Office & Operations Admin related

· Manage day-to-day office operations and general clerical tasks.

· Ensure smooth functioning of office facilities, including procurement of office supplies and equipment.

· Prepare monthly reports on stationery and printer usage.

· Ensure cleanliness and housekeeping standards are maintained.

· Handle all matters related to telecommunications and company cards (Mobile phone, office telephone & wifi, Fuel cards: Petronas, Shell, BHP, etc.).

2. Admin: Licensing & Regulatory Compliance

· Maintain accurate records and ensure timely renewal of all licenses and permits (e.g., PETRONAS, MOF, CIDB, SPAN, IWK) for the main company and subsidiaries.

· Coordinate with regulatory bodies (e.g., Puspakom, JPJ, APAD) to ensure compliance.

· Monitor and stay updated on licensing regulations, advice management on necessary actions.

· When required, to assist the Team with vendor registrations for customer tender submissions, including documentation, portal updates and management approvals.

3. Admin: Fleet Management & Reporting

· Monitor and ensure timely renewal of vehicle-related documents (road tax, inspections, licenses, insurance and fuel cards).

· Arrange maintenance and repair services for breakdown vehicles and ensure adherence to HSE standards and client specifications.

· Act as the contact point for vehicle related queries.

· Compile group related expenses summary reports with PROMPT SUBMISSIONS of the monthly cost analysis reports for the Management (to be submitted the first week of the following month) :

· Vehicle’s monthly maintenance

· Petrol/Diesel mileage reports

· Shell, Petronas & BHP fuel card monthly usage

· Touch N Go cards monthly usage

· Mobile phone monthly billing – to check for any overuse and ensure deductions.

4. Assist in other tasks as requested by the Management.

Pay: RM2,000.00 - RM2,500.00 per month

Education:

  • Bachelor's (Required)

Experience:

  • Administrative: 3 years (Required)
  • Fleet Management: 1 year (Required)

Language:

  • English (Required)

License/Certification:

  • Driving License (Required)

Willingness to travel:

  • 75% (Required)

Work Location: In person
