We are seeking an organized, detail-oriented, and proactive HR Assistant to manage the end-to-end documentation, application, and renewal processes for our foreign workforce permits. The ideal candidate will ensure full compliance with immigration and labor regulations, keeping our operations running smoothly. A strong foundational knowledge of local labor laws and employment acts will be a distinct advantage in this role.
Key Responsibilities
- Permit & Document Management: Handle the entire lifecycle of foreign worker permits, including applications, check-outs, renewals, cancellations, and extensions.
- Liaison with Authorities: Coordinate directly with relevant government bodies (such as the Immigration Department, Ministry of Human Resources, and related agencies) to expedite approvals and resolve issues.
- Compliance Tracking: Maintain an up-to-date tracker of passport and permit expiry dates to prevent any regulatory lapses or penalties.
- Worker Onboarding & Welfare: Assist with the arrival coordination, medical check-ups (FOMEMA), insurance coverage, and proper documentation of incoming foreign workers.
- Record Keeping: Establish and maintain secure, highly organized digital and physical personnel files for all foreign employees.
- HR Administration: Provide general support to the HR department, including updating employee databases and preparing standard employment documentation.
Requirements & Qualifications
- Experience: Minimum of 1–2 years of hands-on experience specifically managing foreign worker documentation and immigration processes.
- Regulatory Knowledge: Deep familiarity with government portal systems and foreign worker management platforms.
- Labor Law (Strong Advantage): A solid understanding of the Employment Act and local labor regulations to assist with compliance and employee relations.
- Skills: Exceptional organizational skills, high attention to detail, and the ability to manage strict deadlines.
- Communication: Strong verbal and written communication skills to effectively coordinate with government officers and internal management.
- Problem-Solving: A proactive approach to troubleshooting documentation issues or delays with regulatory bodies.
Pay: RM2,500.00 - RM5,000.00 per month
