Manage the full onboarding process for new employees.
Create employee email accounts and coordinate system access setup.
Register employee fingerprint attendance in the attendance system.
Prepare onboarding documents and new hire forms.
Conduct HR orientation and briefing for newly joined employees.
Coordinate onboarding training schedules with relevant departments.
Explain company policies, employee handbook, safety requirements, PPE usage, and IT policies.
Record employee acknowledgement for company assets, access cards, keys, and related documents.
Monitor daily employee attendance and ensure attendance records are updated accurately.
Review, verify, and consolidate attendance records daily.
Prepare and generate attendance reports as required by management.
Coordinate with department heads to resolve attendance discrepancies.
Ensure attendance submissions are completed within required timelines.
Handle foreign worker documentation and administrative matters.
Coordinate permit renewals, documentation submissions, and compliance requirements.
Monitor and maintain proper foreign worker records.
Conduct periodic hostel inspections and ensure hostel compliance.
Coordinate foreign worker welfare matters and accommodation arrangements.
Verify overtime records and supporting documentation.
Consolidate overtime submissions for payroll processing.
Assist in payroll data checking and monthly payroll preparation support.
Ensure payroll-related records are accurately maintained.
Manage and coordinate statutory renewals and compliance matters including:
FMM membership renewal
Hostel license renewal
Local authority license renewals (e.g. MBJB)
Liaise with relevant government authorities on HR and compliance matters.
Ensure all employment-related records comply with statutory requirements.
Receive and review internal training requests.
Prepare training evaluation forms and maintain training records.
Monitor training completion and documentation for compliance purposes.
Support day-to-day HR administrative functions.
Maintain employee records and HR documentation.
Manage office administration including:
Office supplies and stationery replenishment
Pantry and common area upkeep
General office maintenance coordination
Organize employee engagement activities such as birthday celebrations and internal events.
Assist in company administrative tasks as assigned.
Perform any other HR, administrative, or operational duties assigned by management or immediate superior.
Diploma or Degree in Human Resource Management, Business Administration, or related field.
Minimum 1–3 years of HR working experience, preferably in manufacturing environment.
Experience in handling foreign worker matters is an added advantage.
Knowledge of Malaysian Employment Act and HR statutory compliance.
Familiar with attendance systems and payroll support processes.
Strong organizational and coordination skills.
Good communication and interpersonal skills.
Proficient in Microsoft Office applications (Excel, Word, PowerPoint).
Able to work independently and manage multiple tasks efficiently.
Detail-oriented, responsible, and able to maintain confidentiality.
