Act as intermediary for Shipping Department and Systems, Customer Service and Production groups, help resolve shipping related issues.
Create shipping documents including Bill of Ladings, shipping invoice, packing list, labels, and other vital documents as well as proceed with government related departments according to the shipment requirements.
Ensures the accuracy of all shipping/receiving documents and gathers and maintains all data and records relative to shipping/receiving activities.
Assure that shipping/receiving counts match picking/purchase order documents and assist in resolving any discrepancies.
Organize, confirm and conduct orders for changes and cancellations for any shipment related.
Assist in tracking shipments and providing alternative information.
Provide timely and effective communications to the business team and freight carriers regarding shipments.
Consist of but not limited to Receiving material, conduct detail inspection and process.
Responsible for scheduling all truck pick-up/delivery schedules and coordination.
Manage customer samples with courier service and create related documentation with active communication with the business team and courier agents.
Update related freight rates and sailing schedules from the shipping agent in records in monthly basis for all the regular countries with the correct arrival port.
Coordinating and arranging import shipments in compliance with local and international regulations and procedures.
Ensuring accurate and timely completion of all shipping and customs documentation.
Communicating and coordinating with suppliers, freight forwarding companies, and shipping lines to arrange shipments and resolve any issues that arise.
Maintaining accurate records of all shipments, tracking and reporting shipment status as required
Proactively identifying opportunities to improve efficiency, reduce costs, and improve service levels.
Knowledge of imports and exports procedures, customs/ bank/insurance documentations and formalities.
Co-ordination with the suppliers and shipping agents for the execution of shipment and other related responsibilities
Tracking the entire process with complete monitoring of the various stages and shipment for timely deliveries.
Apply for other relevant permit which may be required .
Liaise with forwarder for shipping schedule , booking of container and negotiating of freight charges.
Prepare documents for forwarder and customs clearance.
Update latest regulation and procedure of import and export.
Liaise with internal and external parties to ensure timely deliveries.
Update and following up on outstanding orders, dispute and refund.
Assist Logistic Supervisor to perform warehousing and logistics activities.Responsible for the security and operations of the store.
To pick/ locate and pack goods in accordance to Invoice and Deliver Order from Operations division.
Update of stock cards and ensure physical stocks are in correct order
Receiving incoming shipment and check that goods received are in accordance to Purchase Order and Packing Slip.Notify should there be any discrepancy
Ensure goods return from loan are pack in IT’s original packaging and in good condition, to inform should there be any defective or any parts not returned
Daily arrangement to Delivery Personnel and inform of any urgent delivery
Ensure that all goods delivered or collected are duly acknowledged
Ensure all safety and storage procedures are followed
Maintain a clean and safe working environment in the store
Ensure proper filing of all documents for easy retrieval
Record in the record book of outgoing delivery on daily
Ensure that all instruction indicated in the Delivery Order are followed
All delivery orders must be duly acknowledged and with company stamp upon delivery
Upkeep and maintenance of company vehicle
Ensure that the company vehicle is sent to PUSPAKOM for half yearly inspection
Assist Logistics in packaging
Other ad-hoc or administrative functions as delegated
