Job Responsibilities
Accounts & Finance
- Handle daily accounting transactions and bookkeeping.
- Perform data entry and maintain accounting records using SQL Accounting Software.
- Prepare invoices, receipts, payment vouchers, purchase orders and other accounting documents.
- Manage Accounts Payable (AP) and Accounts Receivable (AR).
- Monitor customer outstanding payments and follow up on overdue accounts.
- Process supplier and subcontractor invoices and payments.
- Perform bank reconciliation and assist with monthly accounts closing.
- Maintain proper records of expenses, purchases, payments and receipts.
- Assist in preparing monthly financial and management reports.
- Liaise with external accountants, auditors, tax agents, banks, suppliers and subcontractors.
- Ensure accounting documents and supporting records are properly filed and maintained.
Payroll & HR Administration
- Handle monthly payroll processing accurately and on time.
- Maintain employee records, personal information, attendance, leave and other HR documentation.
- Manage monthly statutory contributions including EPF, SOCSO, EIS and PCB/MTD.
- Assist with employee onboarding, preparation of employment documents and staff administration.
- Monitor staff attendance, leave, overtime and other payroll-related matters.
- Prepare payroll reports and maintain confidentiality of employee information.
- Assist management in HR-related administrative matters.
- Ensure proper filing and maintenance of employee records.
General Administration
- Handle daily office administration and general clerical duties.
- Prepare letters, reports, quotations, purchase orders and other company documents.
- Maintain proper filing systems for company, accounting, HR and project documents.
- Coordinate with suppliers, subcontractors, customers, consultants and project/site personnel.
- Monitor office supplies and administrative expenses.
- Assist management and project teams with administrative and documentation requirements.
- Handle correspondence, emails, telephone calls and other office matters.
- Perform other duties and responsibilities assigned by management.
Construction / Project Administration
- Assist in maintaining documentation for ongoing construction projects.
- Prepare and organize progress claims, variation orders, delivery orders, invoices, purchase orders and subcontractor documents.
- Assist in tracking project-related purchases, expenses and payments.
- Coordinate documentation between the office, project/site team, suppliers and subcontractors.
- Ensure project and accounting documents are properly recorded and filed.
Job Requirements
- Diploma or Degree in Accounting, Finance, Business Administration, Human Resources or a related field.
- Minimum 2–4 years of relevant working experience in Accounts & Administration.
- Experience in the construction industry is highly preferred.
- Hands-on experience with SQL Accounting Software is required.
- Experience in payroll and HR administration is an advantage.
- Familiar with EPF, SOCSO, EIS and PCB/MTD requirements.
- Good knowledge of basic accounting principles and bookkeeping.
- Proficient in Microsoft Excel, Word and other Microsoft Office applications.
- Good organizational skills with strong attention to detail.
- Able to manage multiple tasks and meet deadlines.
- Good communication and interpersonal skills.
- Able to liaise professionally with suppliers, subcontractors, customers and employees.
- Able to work independently with minimum supervision.
- Honest, responsible, reliable and willing to learn.
- Good command of Bahasa Malaysia and English.
- Applicants who are able to start work immediately or with short notice will be an advantage.
