Job Description

Requirements

  • Bachelor's Degree in Human Resource Management, Business Administration or a related field.

  • Minimum 3–5 years of working experience in Human Resource Management, preferably in a similar role.

  • Good knowledge of Malaysian employment laws, including the Employment Act 1955 and Industrial Relations Act 1967.

  • Familiar with payroll administration, statutory contributions (EPF, SOCSO, EIS, PCB) and HRDF claims.

  • Experienced in recruitment, employee onboarding, HR documentation and employee records management.

  • Familiar with employee relations, disciplinary procedures, performance management and HR compliance.

  • Proficient in Microsoft Office, particularly Excel, and HR management systems.

  • Strong analytical, organizational and problem-solving skills with good attention to detail.

  • Excellent communication and interpersonal skills, with the ability to handle confidential information professionally.

  • Able to work independently, manage multiple priorities and meet deadlines.

Responsibilities

The Human Resources Executive supports the overall HR function with a strong emphasis on employee administration, recruitment coordination, payroll support, compliance with employment laws, and maintaining accurate and confidential employee records. The role requires a high degree of integrity, attention to detail, and the ability to handle sensitive information with discretion.

A. Recruitment and Onboarding

• Coordinate end-to-end recruitment process including job postings, screening, interview scheduling, and candidate communication.

• Prepare offer letters, confirmation letters, increment letters, and other employment documentation.

• Conduct onboarding and orientation for new employees, ensuring all required documents and statutory registrations are completed.

• Maintain recruitment trackers and provide regular hiring status updates to Management.

B. Employee Records and Administration

• Maintain accurate and up-to-date employee files, both physical and digital, in compliance with PDPA 2010.

•  Process employee changes including transfers, promotions, salary revisions, and terminations.

• Manage employee database in the HR management system and ensure data integrity.

•  Prepare and issue HR letters, memos, and official correspondence.

C. Payroll Administration Support

•  Compile and verify monthly payroll data including attendance, overtime, deductions, and allowances.

• Coordinate with the Accounts team to ensure timely and accurate salary processing.

•  Ensure compliance with EPF, SOCSO, EIS, and PCB statutory requirements.

•  Maintain payroll records and respond to employee payroll queries.

D. Leave and Attendance Management

• Administer the leave management system and ensure accurate leave balance tracking.

• Monitor daily attendance records and follow up on discrepancies, late arrivals, and unauthorized absences.

• Prepare monthly attendance reports for Management review.

E. Employee Relations and Compliance

• Support disciplinary processes including preparation of show-cause letters, warning letters, and domestic inquiry documentation.

• Ensure compliance with the Employment Act 1955, Industrial Relations Act 1967, and other applicable legislation.

• Handle employee grievances and escalate matters to Management as appropriate.

•  Maintain records of all disciplinary and compliance actions.

F. Training and Development Coordination

• Coordinate training programs and maintain training records for all employees.

• Track HRDF claims and submissions where applicable.

• Support performance review processes and documentation.

G. General HR Administration

• Provide administrative support to the Head of Department and Management on  HR related matters.

•  Prepare HR reports, dashboards, and analysis as required.

•  Manage office supplies and administrative tasks related to HR operations.

•  Perform any other duties as assigned by Management from time to time.
