Requirements
Minimum of a Bachelor's Degree in a relevant field such as Logistics, Supply Chain Management, Business Administration, or a related discipline.
Possess 3-5 years of progressive experience specifically within shipping documentation, with a proven track record in a lead or supervisory role.
Demonstrated expertise in all facets of shipping documentation, including Bills of Lading, Air Waybills, Commercial Invoices, Packing Lists, Certificates of Origin, and other relevant trade documents.
Strong understanding of international trade regulations, customs procedures, and compliance requirements pertinent to various shipping modes (sea, air, land).
Proven ability to lead, mentor, and develop a team of documentation specialists, fostering a collaborative and high-performing work environment.
Experience in implementing and optimizing document control systems and workflows to enhance efficiency, accuracy, and turnaround times.
Excellent command of English, Mandarin, and Bahasa Malaysia, both written and verbal, to effectively communicate with internal stakeholders, clients, and international partners.
Proficiency in logistics management software and general office productivity tools (e.g., MS Office Suite).
Ability to analyze processes, identify bottlenecks, and propose and implement solutions for continuous improvement within the shipping documentation function.
Strong organizational skills with meticulous attention to detail to ensure the accuracy and completeness of all documentation.
Capacity to manage multiple priorities, meet tight deadlines, and adapt to changing operational demands in a fast-paced logistics environment.
Responsibilities
Lead and manage a team of shipping documentation specialists, providing guidance, training, and performance feedback to ensure efficient and accurate processing of all shipping documents.
Oversee the creation, review, and submission of all necessary shipping documentation, including bills of lading, commercial invoices, packing lists, certificates of origin, and customs declarations, ensuring compliance with international trade regulations and company policies.
Develop and implement standardized procedures and best practices for shipping documentation processes to enhance accuracy, reduce errors, and improve turnaround times.
Collaborate with internal departments (e.g., sales, operations, warehouse) and external partners (e.g., freight forwarders, customs brokers, shipping lines) to resolve documentation discrepancies and facilitate smooth cargo movement.
Maintain a robust document control system, ensuring all shipping-related documents are properly filed, archived, and readily accessible for audits and inquiries.
Monitor changes in international trade laws, customs regulations, and shipping industry standards, and proactively update documentation processes and team training to ensure ongoing compliance.
Analyze documentation workflows to identify bottlenecks and areas for improvement, proposing and implementing solutions that leverage technology and process optimization to increase efficiency and reduce costs.
