About The Doctor Navigator

At The Doctor Navigator, we believe that every ambitious student deserves the right guidance, support and opportunities to reach their full potential.

We are a growing international education organisation dedicated to helping students navigate their academic journeys and achieve their university aspirations. Through personalised guidance, structured support and access to valuable academic resources, we help students take meaningful steps towards their future careers.

We are now looking for a highly motivated, personable and organised Student Success Specialist to join our growing team.

This is an exciting opportunity for someone who enjoys working with young people, building meaningful relationships and making a tangible difference in students' lives.

You will serve as a key point of contact for students and their parents, guiding them throughout their journey, keeping them accountable for their progress and ensuring they receive the support and resources they need to succeed.

Beyond simply responding to enquiries, you will take ownership of the overall student experience, proactively identifying opportunities to improve student engagement, satisfaction and outcomes.

If you are someone who genuinely enjoys helping others, communicates exceptionally well and takes pride in delivering outstanding service, this could be an excellent opportunity for you.

What You'll Be Doing

1. Student Onboarding & Relationship Management

  • Welcome and onboard new students through engaging and professional Zoom sessions.
  • Build strong, lasting relationships with students and their parents from the beginning of their journey.
  • Serve as a trusted point of contact, ensuring students and families feel supported and well-informed.
  • Understand each student's individual background, academic aspirations, challenges and support requirements.
  • Maintain consistent communication and engagement throughout each student's programme.
  • Proactively identify opportunities to strengthen relationships, improve engagement and enhance the overall student experience.

2. Student Progress & Success Management

  • Conduct regular check-ins with students to monitor their academic portfolios, extracurricular development and university application progress.
  • Keep students informed of important deadlines, milestones, upcoming activities and application requirements.
  • Proactively follow up to ensure students complete assigned tasks and remain on track.
  • Monitor individual student progress and identify areas where additional guidance, resources or intervention may be required.
  • Help students remain organised, motivated and accountable throughout their application journey.
  • Identify potential challenges early and coordinate appropriate support to prevent issues from escalating.
  • Maintain clear records of student progress, outstanding tasks and follow-up actions.

3. Communication & Student Support

  • Communicate with students and parents through Zoom, Telegram, email, text messages and other digital platforms.
  • Respond to enquiries promptly, professionally and effectively.
  • Provide clear, accurate and helpful information while maintaining a friendly and approachable communication style.
  • Handle questions, concerns and challenging situations with patience, empathy and sound judgement.
  • Manage sensitive conversations professionally while maintaining positive relationships.
  • Ensure students and parents consistently receive a high standard of communication and support.

4. Tutor & Internal Team Coordination

  • Work closely with tutors and internal teams to ensure students receive the appropriate academic resources, guidance and development opportunities.
  • Coordinate communication and information between students, parents, tutors and relevant departments.
  • Follow up on outstanding actions and ensure important student requirements are addressed promptly.
  • Identify additional resources or opportunities that could benefit individual students.
  • Ensure smooth coordination between all parties involved in each student's journey.
  • Contribute to a collaborative environment focused on student satisfaction and successful outcomes.

5. Student Experience & Operational Excellence

  • Take ownership of student-related matters and ensure issues are followed through to resolution.
  • Maintain accurate and up-to-date student records, CRM information and progress reports.
  • Document student interactions, important updates, milestones and follow-up actions.
  • Identify recurring challenges and recommend practical improvements to existing processes.
  • Contribute ideas to improve student engagement, operational efficiency and service quality.
  • Uphold a consistently high standard of professionalism, accountability and confidentiality.

What We're Looking For

We are looking for someone who combines excellent communication skills, strong organisational abilities and a genuine passion for helping students succeed.

You do not necessarily need extensive experience in the education industry. What matters most is your ability to build relationships, take initiative, manage responsibilities independently and deliver an exceptional experience.

1. Relevant Background & Experience

Candidates with experience or academic backgrounds in the following areas will be particularly welcome:

  • Overseas education and international education.
  • University admissions and education consultancy.
  • Student counselling and student support.
  • International student recruitment.
  • Teaching, tutoring or academic support.
  • Customer success and client relationship management.
  • Customer service and account management.
  • Other student-facing or relationship-driven roles.

Prior professional experience is preferred but not essential for candidates who can demonstrate the right attitude, communication skills and potential.

2. Communication & Interpersonal Skills

  • Excellent spoken and written English, preferably with a neutral accent.
  • Confident and articulate when communicating with students and parents.
  • Friendly, approachable and naturally comfortable building rapport.
  • Strong interpersonal skills with the ability to establish trust and maintain positive relationships.
  • Comfortable conducting Zoom meetings and voice calls.
  • Patient, empathetic and attentive to individual needs.
  • Able to manage challenging conversations calmly and professionally.
  • Mandarin-speaking ability is an advantage.

3. Organisation, Initiative & Accountability

  • Highly organised, responsible and dependable.
  • Excellent attention to detail and follow-up skills.
  • Able to manage multiple students, competing priorities and deadlines simultaneously.
  • Takes ownership of responsibilities and sees tasks through to completion.
  • Proactive in identifying problems rather than waiting for instructions.
  • Able to exercise sound judgement and find practical solutions.
  • Comfortable working independently with minimal supervision.
  • Adaptable and able to perform effectively in a fast-paced, growing organisation.

4. Technology & Remote Working Skills

  • Comfortable using CRM systems, databases and student management platforms.
  • Proficient with Zoom, Telegram, Microsoft Office and other digital productivity tools.
  • Quick to learn and adapt to new systems and technologies.
  • Comfortable collaborating with an international team across different time zones.
  • Able to work effectively in a fully remote environment.
  • Must have a stable, high-speed internet connection and a quiet, professional home working environment.

5. Typing & Administrative Skills

  • Typing speed of 65+ WPM with good accuracy.
  • Strong written communication and documentation skills.
  • Able to maintain accurate records and organise information systematically.

Collaborate with a diverse international team and work alongside experienced professionals from different backgrounds and locations.

Meaningful & Rewarding Work

Make a genuine difference in the lives of ambitious students. Your contribution will directly influence their experience, development and progress towards their academic aspirations.

Develop valuable expertise in student success, relationship management, international education, university admissions and client experience.

As the organisation continues to grow, there will be opportunities to expand your responsibilities, develop your professional capabilities and progress into more senior positions.

Working Schedule

  • Working Days: 5–6 days per week.
  • Working Hours: 3:00 PM–12:00 AM / 4:00 PM–1:00 AM Hong Kong Time (HKT).
  • Location: Fully Remote.

Due to the international nature of our students and operations, candidates must be comfortable working during the specified hours and maintaining consistent availability throughout their scheduled working days.

Who Will Thrive in This Role?

This opportunity is particularly suited to someone who:

  • Genuinely enjoys working with students and young people.
  • Finds satisfaction in helping others achieve meaningful goals.
  • Has excellent communication and relationship-building abilities.
  • Is confident interacting with both students and parents.
  • Enjoys taking responsibility and managing their own portfolio of students.

  • Takes initiative and follows through without constant reminders.
  • Can remain calm and professional when dealing with challenging situations.
  • Enjoys working in a dynamic, international environment.
  • Wants to build a long-term career in student success, education or client relationship management.

Ultimately, we are looking for someone who does not simply want to complete daily tasks, but genuinely takes pride in the success and satisfaction of the students they support.
