Job Description

Requirements

  • Strong communication and interpersonal skills with a client-first mindset.

  • Highly organized with strong attention to detail and ability to manage multiple tasks.

  • Comfortable in a fast-paced, service-driven environment.

  • Proficient in Mandarin and Cantonese (mandatory requirement), with good English communication skills preferred.

  • Experience in customer service, healthcare coordination, or administrative support is an advantage.

  • Ability to work collaboratively with internal teams and external stakeholders.

Responsibilities

Client Engagement & Scheduling

  • Coordinate appointments between clients, healthcare practitioners, and case managers, ensuring efficient scheduling and rescheduling when required.

  • Conduct initial client intake and assessment to understand needs, expectations, and objectives.

  • Support onboarding of new clients by providing clear guidance and ensuring a smooth transition into services.

  • Maintain accurate and up-to-date client records and booking information in the system.

Client Retention & Growth

  • Follow up with clients after initial appointments to gather feedback and assess ongoing needs.

  • In alignment with practitioner recommendations, identify suitable additional services or treatment plans to support client outcomes.

  • Respond to enquiries from prospective clients and provide accurate information about available services.

  • Proactively engage potential clients referred by case managers or healthcare partners.

  • Build strong, long-term relationships to enhance client satisfaction, loyalty, and referral opportunities.

Coordination & Collaboration

  • Work closely with practitioners, case managers, and internal teams to ensure coordinated service delivery.

  • Manage and coordinate bulk scheduling requests and service arrangements efficiently.

  • Communicate proactively regarding any schedule changes, delays, or service-related issues affecting clients.

Administration & Funding Support

  • Liaise with case managers to verify client funding and eligibility for services.

  • Handle documentation, invoices, and related administrative processes accurately and in a timely manner.
