There’s no universal format for a COE, but a proper certificate should usually contain:

  • Employer details: Company name, logo, contact number, and address
  • Employee details: Full name, job title, employee ID (if any), employment dates
  • Employment information: Role(s) held, department, brief description of responsibilities
  • Salary info: (Optional) Monthly salary or last drawn salary if requested
  • Issuance details: Date of issue, signature of HR or authorised personnel, company stamp

 

Why Is a Certificate of Employment Important?

Here are common scenarios where a COE is required:

1. Job Applications

When applying for new jobs, future employers may ask for a COE to validate your previous employment. It boosts credibility and serves as proof of experience.

2. Loan or Credit Card Applications

Banks and loan providers often need a Certificate of Employment (COE). This document shows the borrower's current salary and how long they have worked. It helps them decide if the borrower can repay the loan.

3. Visa or Immigration Applications

Embassies may request a COE to prove that the applicant is employed and financially stable. It can also help show ties to the home country for travel or work visa approvals.

4. Rental Agreements

Landlords may ask for a COE to verify the tenant’s employment status and ability to pay rent regularly.

5. Government Requests

For example, when you apply for government aid or financial help, you may need a COE. It shows your eligibility based on your job or income.

 

How to Request a Certificate of Employment?

Step 1: Submit a Formal Request

Employees need to make a formal written request to their employer, HR department, or direct supervisor. The request should include:

  • Reason for requesting the COE (e.g., job application, loan, visa)
  • Specific details to include (e.g., salary, job title)
  • Deadline for when the COE is needed

Step 2: Employer Verifies the Request

Once received, the HR or relevant department verifies the employment details. The document must reflect accurate records — providing false information can result in legal consequences.

Step 3: Processing Time

There is no set time to issue a COE. However, good practice suggests releasing it within 3 working days of the request.
