Responsible for managing, organizing, and maintaining company documents in a structured and secure manner. This role ensures that all documents are up-to-date, properly stored, and accessible to relevant stakeholders while maintaining compliance with regulatory and quality standards.
KEY RESPONSIBILITIES:
To establish, maintain, update & improve standard documentation.
To improve the overall document and quality record.
Document registration, control issues, copying, distribution and transmittal.
Collect and file all technical changes, negotiation records, meeting minutes and other materials.
Focal person for all project documentation coming in from Contractors, Vendors, Sub-contractors and Engineering Consultants, including all project progress reports.
To ensure that all documents for projects follow the Document Control procedures such as Document Numbering System, Document Control and Final Document Handover.
Ensure the controlled copies of latest approved documents and drawings are given to the Project team, design consultant and contractors.
Provide support in current and future review and final documentation handover from Project team to End user.
Manage document transmittals, submittals, and approvals.
Ensure documents comply with ISO 9001, OSHA, or industry-specific standards.
Monitor incoming and outgoing documents.
Documentation remain accurate, up-to-date, and properly version controlled.
Participate in project meetings and quality briefings as required.
Comply with Quality, Health & Safety Policies
SUPERVISION:
Receives daily supervision and workload from Project Manager.
Receives general supervision from Project Director when required.
