Job Summary
The Training Coordinator is responsible for coordinating and administering training programmes from initial enquiry and participant registration through training delivery and post-training documentation. The role ensures that participants, trainers, venues, training materials, regulatory requirements and HRD Corp documentation are properly coordinated to ensure smooth and successful delivery of each programme.
Key Responsibilities
- Training Coordination
- Coordinate the overall planning and implementation of training programmes.
- Maintain the training calendar, schedules and participant lists.
- Coordinate training dates, venues, trainers and required facilities.
- Ensure minimum participant requirements are monitored before confirming each programme.
- Communicate programme changes, postponements or cancellations promptly.
- Participant Registration & Follow-Up
- Handle enquiries received through telephone, email, WhatsApp and online registration.
- Follow up with prospective participants and companies on registrations.
- Maintain updated records of confirmed, pending and interested participants.
- Collect all required participant information and supporting documents.
- Send confirmation letters, joining instructions, schedules and reminders.
- HRD Corp / Grant Administration
- Assist participants/companies with information required for HRD Corp grant applications.
- Monitor the status of grant applications and follow up on pending approvals.
- Ensure quotations and supporting documents are issued within the required timeline.
- Prepare and maintain documents required for HRD Corp claims and training records.
- Coordinate with Accounts on invoices, payments and claim-related documentation.
- Regulatory / Certification Coordination
- Coordinate submissions, participant screening and documentation required by relevant authorities.
- Monitor approval or screening status and follow up with the relevant parties.
- Maintain proper records of certificates, serial numbers, attendance and examination results.
- Ensure training programmes comply with applicable provider and regulatory requirements.
- Trainer & Training Material Coordination
- Confirm trainer availability and schedules.
- Prepare training materials, handouts, attendance sheets and assessment forms.
- Ensure presentation slides and other materials are ready before training.
- Coordinate examinations, assessments and participant evaluations.
- Arrange issuance of certificates upon successful completion.
- Venue & Training-Day Logistics
- Liaise with hotels/training venues regarding meeting rooms, meals, accommodation and equipment.
- Confirm final participant numbers with the venue.
- Ensure the training room and required equipment are ready.
- Coordinate participant registration and attendance during training.
- Handle operational issues arising during the programme.
- Marketing & Follow-Up
- Support the promotion of upcoming programmes through email, telephone and other approved channels.
- Follow up on leads and enquiries to improve participant registration.
- Maintain a database of potential participants and corporate clients.
- Provide management with regular updates on registration progress.
- Reporting & Administration
- Prepare regular training status reports showing enquiries, quotations, registrations, grant status, payments and confirmed participants.
- Maintain complete physical and electronic training files.
- Track outstanding actions and deadlines for every training programme.
- Perform other training-related administrative duties assigned by Management.
Key Skills & Requirements
- Diploma/Degree in Business Administration, HR, Management or related field preferred.
- Experience in training coordination, administration, HR or customer service is an advantage.
- Knowledge of HRD Corp/e-TRiS processes is an advantage.
- Strong organisational and follow-up skills.
- Good communication skills in Bahasa Malaysia and English.
- Proficient in Microsoft Office, Google Forms/Sheets and general online systems.
- Able to manage multiple deadlines and coordinate with participants, trainers, hotels, authorities and internal departments.
- Detail-oriented with strong record-keeping skills.
Key Performance Indicators (KPIs) may include participant registration numbers, conversion of enquiries to confirmed participants, timely grant/document submission, training attendance, accuracy of records, successful programme delivery and timely completion of post-training documentation.
Pay: RM1,700.00 - RM2,500.00 per month
