Front Office Executive
Job Summary
The Front Office Executive is responsible for managing the front desk and serving as the first point of contact for customers, visitors, clients, and business partners. The role involves providing professional and friendly customer service, handling enquiries and telephone calls, managing appointments and visitors, and supporting general administrative activities. The Front Office Executive is also responsible for ensuring the reception area and front office operations are well-organized, efficient, and aligned with the company’s professional standards.
Key Responsibilities
-Welcome and assist visitors, customers, guests, and business partners in a professional and friendly manner.
-Answer, screen, and direct incoming telephone calls and enquiries to the appropriate departments.
-Handle front desk enquiries and provide accurate information regarding company services, procedures, and facilities.
-Manage visitor registration, appointments, meeting room bookings, and related arrangements.
-Receive, sort, record, and distribute incoming and outgoing mail, documents, and courier items.
-Maintain accurate records of visitors, telephone calls, appointments, and front office activities.
-Coordinate with relevant departments to attend to customer, visitor, and management requests.
-Provide general administrative support, including filing, data entry, photocopying, scanning, and document preparation.
-Assist in arranging meetings, company events, staff activities, and other office-related matters when required.
-Ensure the reception and front office areas are clean, organized, and presentable at all times.
-Handle customer feedback, enquiries, and complaints professionally and escalate issues to the appropriate department or management when necessary.
-Monitor office and front office supplies and coordinate replenishment when required.
-Maintain a high level of professionalism, confidentiality, and customer service at all times.
-Support other departments with administrative and operational tasks when required.
-Perform any other duties and responsibilities assigned by the supervisor or management.
Requirements
-Minimum 4–6 years of relevant working experience as front office supervisor.
-Excellent communication and interpersonal skills with a professional and pleasant personality
-Strong customer service and problem-solving skills
-Able to handle multiple tasks efficiently in a fast-paced working environment
-Good organizational and time-management skills.
-Proficient in Microsoft Office applications, including Word, Excel, and Outlook.
-Good command of English and Bahasa Malaysia; proficiency in additional languages is an advantage.
-Able to communicate effectively with customers, visitors, colleagues, and management at all levels.
-Able to work independently as well as effectively within a team.}-Strong attention to detail and ability to maintain confidentiality when handling company and customer information.
-Positive attitude, proactive approach, and willingness to take initiative.
-Willing to work on weekends, public holidays, or shifts where required, depending on business operations.
Qualifications
-Minimum Diploma in Business Administration, Hospitality Management, Office Management, Customer Service, or a related field.
-A Bachelor’s Degree in a relevant discipline will be an added advantage.|
-Candidates with strong relevant experience and proven front office or customer service skills may also be considered.
-Previous experience in a corporate, hospitality, service, or customer-facing environment is preferred.
Job Type: Full-time
Pay: RM2,000.00 - RM2,500.00 per month
