Responsibilities
1) Job Summary
The Technical Assistant provides technical and administrative support to engineering and operations teams by coordinating documentation, preparing reports, maintaining technical records, supporting project planning, tracking action items, managing engineering document control, and facilitating communication between engineering, operations, procurement, HSEQ, and client representatives. The role enables efficient execution of drilling, completion, workover, intervention, and P&A projects through accurate documentation, scheduling, data management, and technical coordination.
2) Key Responsibilities
A. Engineering & Operations Support
Prepare technical correspondence.
Maintain engineering document registers.
Coordinate review and approval workflows.
Track engineering deliverables.
Support preparation of drilling, completion, workover, intervention, and P&A programs.
Assist in compiling technical reports.
Coordinate technical meetings and record minutes.
B. Document Control
Maintain controlled engineering documents.
Ensure document revision control.
Archive completed project records.
Manage distribution of technical procedures and drawings.
Maintain client document transmittals.
C. Project Coordination
Track project schedules and milestones.
Monitor action item registers.
Coordinate travel and logistics for engineering teams.
Support procurement follow-up.
Assist with material status tracking.
D. Reporting
Prepare daily, weekly, and monthly reports.
Compile KPI dashboards.
Assist in budget tracking.
Maintain engineering databases.
Support audit preparation.
E. HSE & Compliance
Ensure documentation complies with company procedures.
Support HSE reporting.
Maintain training and competency records.
Participate in audits and management reviews.
3) Authorities
The Technical Assistant is authorized to:
Coordinate document reviews.
Request updates from project stakeholders.
Return incomplete documentation for correction.
Escalate overdue technical deliverables.
Maintain official document control records.
4) Qualifications & Requirements
Education: Diploma in Engineering, Business Administration, Project Management, or equivalent. Preferably Bachelor's Degree in Engineering, Project Management, or Business.
Experience: 3–5 years in technical administration or engineering support, experience in oil & gas, EPC, or industrial projects, familiarity with engineering documentation and project workflows.
Preferably candidate that has experience in supporting drilling or well services operations and experience with document management systems (DMS) and ERP platforms.
Mandatory Certifications: Document Control or Project Administration certification. Microsoft Office Specialist (preferred), ISO 9001 Awareness, Document Control Training, H₂S Awareness (if supporting field operations), Permit to Work Awareness (preferred).
Language: Proficient in English and Bahasa Malaysia (written and spoken).
Technical Knowledge: Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Microsoft Project (preferred), SharePoint / Document Management Systems, SAP / ERP Systems, Power BI (preferred), Technical Report Formatting, Data Analysis, Scheduling & Coordination, Records Management
5) Preferred Skills and Competencies
Strong organizational and planning skills.
Excellent communication, coordination, and interpersonal skills.
Willingness to travel to project sites as required.
