Key Responsibilities
Hostel Operations & Management
- Lead and manage daily hostel operations to ensure a safe, clean, and conducive living environment.
- Oversee room allocations, bookings, check-in/out processes, and student placements.
- Monitor hostel occupancy, retention trends, and demand forecasting. Resolve student issues professionally and promptly.
- Manage and guide the warden team, including performance and workforce scheduling.
- Implement continuous improvements to hostel SOPs and policies.
Monitoring & Campus Coordination
- Lead hostel operations across all UCs with structured governance.
- Conduct regular audits and ensure compliance with safety, regulatory, and welfare standards.
- Standardize procedures across all campuses for smooth operations.
- Act as the main liaison between HQ and campus teams.
Vendor & Contract Management
- Manage hostel service providers and ensure contractual compliance.
- Conduct vendor evaluations and ensure service quality.
- Review invoices and documentation before Finance processing.
Fiscal & Contractual Oversight
- Manage hostel budgets, expenditure, and cost control.
- Oversee tenancy agreements, rentals, contract renewals, and procurement processes.
Facilities Maintenance
- Ensure all hostel facilities are properly maintained.
- Oversee repairs, refurbishments, and preventive maintenance. Manage hostel inventories and asset registers.
Documentation & Reporting
- Maintain logs, reports, maintenance records, and occupancy data.
- Prepare periodic management reports on operations and improvements.
Requirements
- Bachelor’s degree in Facilities/Property Management, Hospitality, Business Admin, or related field.
- 3–5 years experience in hostel management, property operations, or facilities administration.
- Proven ability to manage multi-site operations and lead remote teams.
- Strong organizational, communication, and problem-solving skills.
- Knowledge of tenancy law, health & safety standards, and budgeting practices. Willingness to travel to various campuses across Malaysia.
