JOB DESCRIPTION – PROCUREMENT MANAGER
Position: Procurement Manager
Department: Procurement / Purchasing
Reports To: General Manager / Managing Director
1. JOB PURPOSE
To manage and oversee the company’s procurement activities, ensuring materials, goods, and services are purchased at the right quality, quantity, price, and delivery time while maintaining good supplier relationships and supporting the company’s operational needs.
2. KEY RESPONSIBILITIES
Procurement Management
- Develop and implement procurement strategies and procedures.
- Plan and manage purchasing activities according to production and operational requirements.
- Review Purchase Requisitions (PR), Purchase Orders (PO), and purchasing requirements.
- Ensure purchases are made in accordance with company policies and approval procedures.
- Monitor purchasing costs and identify opportunities for cost savings.
Supplier Management
- Source, evaluate, and select suitable suppliers.
- Negotiate prices, payment terms, delivery schedules, and other commercial terms.
- Maintain good relationships with existing suppliers.
- Conduct supplier performance evaluations and recommend corrective actions where necessary.
- Develop alternative suppliers to reduce supply and operational risks.
Cost & Quality Control
- Obtain and compare quotations from suppliers.
- Negotiate competitive pricing without compromising quality.
- Monitor material and purchasing costs.
- Work closely with QA/QC and Production to resolve quality-related supplier issues.
- Ensure purchased materials and products meet the required specifications.
Delivery & Inventory
- Monitor supplier delivery schedules and follow up on delayed deliveries.
- Coordinate with Warehouse, Production, and relevant departments to ensure timely availability of materials.
- Monitor stock levels and avoid overstocking or shortages.
- Assist in identifying slow-moving and obsolete materials.
Documentation & Compliance
- Ensure proper documentation for quotations, purchase orders, invoices, and supplier records.
- Maintain an updated supplier database and procurement records.
- Ensure procurement activities comply with company policies and applicable laws and regulations.
- Prepare procurement reports, cost analysis, and management reports when required.
Team Management
- Lead, supervise, and develop the Procurement/Purchasing team.
- Allocate work and monitor staff performance.
- Provide guidance and training to procurement staff.
- Ensure the team follows proper purchasing procedures and controls.
Other Duties
- Work closely with Finance, Production, Warehouse, QA/QC, and other departments.
- Support management in budgeting and cost-control activities.
- Identify and implement improvements to the procurement process.
- Perform other duties and responsibilities assigned by management.
3. JOB REQUIREMENTS
Education
- Diploma or Bachelor's Degree in Procurement, Supply Chain Management, Business Administration, or a related field.
Experience
- Minimum 5 years of relevant procurement/purchasing experience, preferably with 2–3 years in a supervisory or managerial position.
- Experience in a manufacturing environment is an advantage.
Skills & Knowledge
- Strong negotiation and supplier management skills.
- Good knowledge of purchasing and procurement processes.
- Good analytical and problem-solving skills.
- Good communication and interpersonal skills.
- Good knowledge of Microsoft Office, especially Excel.
- Experience with ERP/accounting systems is an advantage.
- Able to work independently and manage multiple priorities.

Pay: RM5,000.00 - RM7,000.00 per month
