A. HQ & Retail Communication Coordination
- Act as the central communication point between HQ and Retail PICs/Supervisors.
- Ensure all information, instructions, announcements, SOPs and operational updates from HQ are communicated clearly and promptly.
- Ensure Retail PICs and Supervisors understand instructions before implementation.
- Follow up with the respective PIC/Supervisor to ensure instructions have been carried out accordingly.
- Prevent communication gaps, misunderstandings or delays between HQ and retail operations.
- Escalate urgent, unclear or unresolved matters to the Operation Manager or relevant department.
B. Retail Reporting & Data Management
- Prepare and maintain daily, weekly and monthly retail operational reports.
- Compile information received from different counters, PICs and Supervisors into organized reports.
- Prepare manpower reports, staff movement reports, outlet summaries, schedule reports and other operational trackers.
- Update management reports accurately and within the required timeline.
- Analyze and summaries retail data for management review.
- Ensure data entered into reports is complete, accurate and properly checked before submission.
- Maintain proper Excel trackers for outstanding issues, manpower, schedules, deadlines and operational activities.
- Assist the Operation Manager and Retail Executive in preparing presentations, summaries or reports for management meetings.
- Improve existing reporting formats and trackers where necessary to make information easier to monitor and understand.
C. Microsoft Excel & Office Administration
- Sorting and filtering large amounts of data.
- Using functions such as SUM, COUNTIF, SUMIF, IF, VLOOKUP/XLOOKUP and other commonly used Excel formulas.
- Preparing tables, charts and simple dashboards when required.
- Checking data for errors, duplicates or missing information.
- Combining information from multiple retail outlets into one master report.
- Maintaining clean and organized reporting formats.
- Preparing reports that are easy for Management to review. The candidate should also be comfortable using: Microsoft Office andGoogle Sheets / Google Drive where applicable
D. SOP & Policy Implementation
- Distribute new or revised SOPs, policies, guidelines, memos and operational instructions to retail teams.
- Maintain proper records of SOPs and important operational communications.
- Ensure PICs and Supervisors acknowledge important instructions where required.
- Follow up on implementation of new procedures at outlet/counter level.
- Highlight repeated non-compliance or failure to follow SOPs to the Operation Manager.
- Coordinate clarification sessions when retail teams require further explanation.
E. Retail Operations Coordination
- Work closely with the Operation Manager – Counter Department and Retail Executive on daily operational matters.
- Follow up on issues raised by counters, PICs and Supervisors.
- Coordinate operational matters such as manpower, schedules, maintenance, documentation and outlet requirements.
- Ensure urgent operational matters are communicated to the correct HQ department.
- Monitor outstanding issues and follow up until closure.
- Maintain an updated retail action tracker showing the issue, person responsible, deadline and status.
F. Retail PIC & Supervisor Coordination
- Maintain regular communication with Retail PICs and Supervisors.
- Collect operational feedback, concerns and updates from outlets.
- Remind PICs and Supervisors regarding deadlines, reports, schedules and required submissions.
- Ensure required information is submitted within the stipulated timeline.
- Coordinate meetings, briefings and discussions between HQ and retail teams.
- Ensure information received from retail teams is properly documented and communicated to the relevant manager.
G. Schedule & Manpower Coordination
- Work closely with the Retail Executive and Operation Manager regarding retail manpower arrangements.
- Collect and monitor weekly/monthly retail schedules.
- Compile schedules into master Excel reports where required.
- Ensure schedules are submitted according to Company timelines.
- Highlight manpower shortages, excessive manpower, emergency staffing issues or scheduling concerns.
- Coordinate communication regarding staff transfers, temporary support, replacement manpower or outlet coverage.
- Maintain updated retail manpower and outlet information.
H. Documentation & Record Keeping
- Maintain proper records of retail communications, SOP acknowledgements, reports and operational documents.
- Maintain updated outlet/counter information including PIC, Supervisor, manpower and contact details.
- Ensure important documents are properly filed and easily accessible.
- Maintain accurate electronic records and master files.
- Ensure confidential retail and employee information is handled appropriately.
Pay: RM2,300.00 - RM2,500.00 per month
