Key Responsibilities Procurement Strategy & Planning

Develop and execute the annual procurement plan and purchasing calendar in line with sales forecasts and inventory targets

Set category strategies for principal products, packaging, POSM and indirect spend, balancing cost, quality and supply reliability

Supplier & Vendor Management

Own the end-to-end relationship with principals, manufacturers and third-party vendors, including onboarding, performance review and escalation

Negotiate pricing, credit terms, minimum order quantities and service levels; renew and manage supplier contracts and agreements

Monitor supplier performance on price, quality, lead time and delivery reliability, and drive corrective action where standards slip

Purchasing & Order Management

Approve and oversee purchase orders, ensuring accuracy of pricing, quantities and delivery schedules before release

Coordinate shipment planning, import documentation and customs clearance with logistics and warehouse teams

Resolve order discrepancies, shipment delays and quality issues with suppliers in a timely manner

Perform goods receiving in the ERP system, verifying delivered quantities against purchase orders and delivery documents

Maintain accurate cost pricing in the ERP system, including cost updates, price changes and landed-cost components

Coordinate with the warehouse and other stakeholders on shipment arrivals and stock availability, keeping sales and customer service informed of expected delivery dates

Inventory & Demand Coordination

Work with sales and warehouse teams to align purchase quantities with demand forecasts and healthy stock cover

Monitor inventory levels against demand and reorder points to prevent stockouts and overstock situations

Manage ageing and slow-moving stock exposure, and lead clearance or return-tovendor decisions where needed

Maintain accurate supplier and product master data to support forecasting and reporting

Cost, Compliance & Budget Management

Track purchasing spend against budget and report variances, savings and costavoidance initiatives

Ensure procurement activity complies with company policy, import/trade regulations and product certification requirements

Prepare and submit statutory procurement and trade-related reports to government agencies (e.g. import/export permits, quota and licensing returns) within required deadlines

Review and approve supplier invoices in coordination with finance, resolving pricing or quantity mismatches

Cross-Functional Coordination

Act as the key liaison between procurement and sales, brand, finance and warehouse teams on supply-related matters

Present procurement performance, cost trends and supplier risk updates to management on a regular cadence

Requirements

Diploma or Degree in Supply Chain, Business, Logistics or a related field

2 to 3 years of procurement or purchasing experience, ideally in FMCG, distribution or trading

Strong negotiation skills and a track record of managing supplier contracts and commercial terms

Comfortable with cost and spend analysis, including budget tracking, variance analysis and savings reporting

Working knowledge of ERP or purchasing systems, and proficient in Excel for supplier and spend analysis

Understanding of import/export documentation, trade compliance and product certification requirements is an advantage

Strong cross-functional communicator, comfortable liaising with principals, suppliers, sales and warehouse teams

Organised and process-minded, able to manage multiple suppliers, deadlines and escalations at once

Comfortable using generative AI tools (e.g. Claude, ChatGPT) to lift productivity in reporting, drafting and analysis; prior experience is a plus but not required, and training will be provided
