We are looking for a competent, experienced and highly efficient HR & Admin Officer to manage day-to-day Human Resources and administrative functions.
The successful candidate should be hands-on, responsible and able to independently manage HR operations, employee matters, payroll-related processes, government compliance and foreign worker administration.
Candidates with experience using Info-Tech HRMS / Payroll System and handling government agencies will be highly preferred.
RESPONSIBILITIES Human Resources & Administration
- Manage daily HR and administrative operations.
- Support the development, implementation and improvement of HR policies, procedures and internal systems.
- Provide guidance to employees and management on HR policies and procedures.
- Maintain proper employee records, personnel files and HR documentation.
- Monitor employee attendance, leave, overtime, absenteeism and employee information.
- Ensure HR records are properly maintained for internal control and audit purposes.
Payroll & Info-Tech HRMS
- Handle and support monthly payroll processing.
- Maintain employee information, attendance, leave, overtime and payroll-related data in Info-Tech HRMS / Payroll System.
- Check payroll information carefully to ensure accuracy before salary processing.
- Handle payroll-related documentation and statutory contributions where applicable.
- Candidates with hands-on experience using Info-Tech HRMS / Info-Tech Payroll will have an added advantage.
Recruitment & Onboarding
- Manage the full recruitment process from manpower request to employee onboarding.
- Prepare and update job descriptions.
- Post job advertisements and screen candidates.
- Arrange and conduct interviews.
- Prepare employment-related documentation.
- Coordinate new employee onboarding, orientation and induction.
- Monitor probation periods and confirmation evaluations.
Training & Performance Management
- Coordinate employee training and development activities.
- Maintain training records and training matrices.
- Assist in employee performance evaluation and probation assessment.
- Follow up with Department Heads on employee performance and development requirements.
Employee Relations & Disciplinary Matters
- Assist in handling employee disciplinary matters, misconduct, absenteeism, grievances and workplace issues.
- Prepare warning letters, show-cause letters and other HR-related correspondence when required.
- Ensure disciplinary procedures are properly documented and handled fairly.
- Provide HR support and advice to management and Department Heads.
Government & Legal Compliance
The HR Officer must be capable of handling and following up on matters involving relevant government departments and authorities, including:
- Jabatan Tenaga Kerja (JTK)
- Jabatan Keselamatan dan Kesihatan Pekerjaan (JKKP / DOSH)
- Jabatan Imigresen Malaysia
- KWSP / EPF
- PERKESO / SOCSO
- EIS
- Other relevant government agencies when required.
Responsibilities include:
- Submission and renewal of relevant registrations, licences, reports and documentation.
- Liaison with government officers and agencies.
- Monitoring statutory deadlines and compliance requirements.
- Maintaining proper records for inspections and audits.
- Assisting with workplace safety and occupational health documentation.
- Supporting JKKP-related matters, including annual submissions and relevant machinery/equipment registration where applicable.
Foreign Worker Management
- Handle foreign worker administration and documentation.
- Monitor passport and work permit expiry dates.
- Coordinate work permit renewal and Immigration-related matters.
- Maintain proper foreign worker records.
- Assist in hostel/accommodation administration and compliance.
- Liaise with agents and government departments when necessary.
- Ensure foreign worker documentation is properly updated and filed.
Compliance
- Ensure company HR practices comply with applicable Malaysian employment laws and regulations.
- Review employment terms, working conditions, attendance practices and HR procedures for compliance.
- Assist during internal audits, external audits and government inspections.
REQUIREMENTS
- Diploma / Degree in Human Resources, Business Administration, Management or related field.
- Proven working experience as an HR Officer, HR Executive, HR Administrator or similar HR role is preferred.

- Good understanding of Malaysian Employment Act and basic labour regulations.
- Experience dealing with JTK, JKKP/DOSH, Immigration and other government agencies is highly preferred.
- Experience handling foreign workers and hostel-related matters will be an advantage.
- Experience using Info-Tech HRMS / Payroll System is highly preferred.
- Candidates without Info-Tech experience may still apply if they have strong HR experience and are willing to learn quickly.
- Proficient in Microsoft Word, Excel and other MS Office applications.
- Strong organizational and time-management skills.
- Able to work independently with minimal supervision.
- Good communication and interpersonal skills.
- Strong problem-solving and decision-making ability.
- High level of integrity, confidentiality and responsibility.
- Able to manage multiple deadlines and follow up on outstanding matters effectively.

- Familiar with manufacturing/factory HR operations will be an added advantage.
