Job Summary

Supersafe Industries Sdn. Bhd. is seeking a meticulous Senior HR & Admin Executive to lead day-to-day HR operations, plant administration, foreign worker management, and facility operations across our multi-entity manufacturing footprint. This role requires heavy involvement in ISO quality management compliance, audit readiness, local authority licensing, and the IT administrative/procurement lifecycle.

The successful candidate will play a key operational role in managing disciplinary actions, statutory compliance, vendor control, and safety adherence, while actively coordinating the upcoming plant relocation from Seri Kembangan to Semenyih in Q*************.

Key Responsibilities

1. Plant Administration, ISO Compliance & Authority Licensing

  • Maintain factory licenses, local council permits (MPSK/MPKj), BOMBA certifications, DOE approvals, and DOSH registration for all machinery and sites.
  • Serve as the functional custodian for HR & Admin documentation under ISO 9001:2015 (and ISO 45001 where applicable), ensuring SOP compliance, control of documented information, and zero major non-conformances (NC) during internal and external audits.
  • Manage industrial waste contracts, pest control, security services, cafeteria operations, and general facility upkeep.
  • Act as the primary liaison for visits, routine inspections, and audits by local government bodies (JTK, DOSH, BOMBA, KDN, Immigration).

2. Foreign Worker & Hostel Management

  • Oversee end-to-end foreign worker administration: quota applications, FWCMS processing, FOMEMA medical screening, passport renewals, insurance (SPIKPA/SOCSO), and permit extensions via MyEG/Immigration.
  • Enforce full compliance with the Employees’ Minimum Standards of Housing, Accommodations and Amenities Act 1990 (Act 446).
  • Conduct regular hostel audits to ensure safety, sanitation, utility management, warden oversight, and transport logistics.
  • Handle worker welfare, grievance resolution, and emergency medical incidents.

3. HR Operations, Employee Relations & Disciplinary Management

  • Execute site-level HR operations for both factory/production workers and corporate office staff.
  • Administer employee relations, grievance procedures, and disciplinary actions (issuance of Show Cause Letters, Warning Letters, and coordination of Domestic Inquiries) in accordance with the Employment Act 1955 and Industrial Relations practices.
  • Manage the full recruitment lifecycle for non-executive, technical, and plant operational roles.
  • Manage time attendance, leave tracking, OT verification, and provide vetted inputs for monthly payroll processing.
  • Support performance management, probation tracking, annual appraisals, and training plan execution.

4. IT Administration & Hardware Procurement

  • Manage the procurement lifecycle for IT assets (laptops, desktops, printers, network gear, and CCTV) including vendor negotiations, purchase requisitions, and comparative quotation analysis.
  • Maintain the IT Asset Register, tracking asset tagging, warranty status, user allocation, software licensing, and hardware decommissioning.
  • Coordinate with external IT service providers/vendors for infrastructure setup, server/network maintenance, software deployment, and immediate technical troubleshooting.
  • Enforce IT security protocols, data backup verification, access control permissions, and onboarding/offboarding IT asset clearance procedures.

5. Plant Relocation Logistics (Seri Kembangan to Semenyih - Q*************)

  • Co-lead the operational planning for the relocation from Seri Kembangan to the new site in Semenyih.
  • Coordinate physical asset tagging, office/factory furniture relocation, IT server/network migration, and secure transfer of physical files and confidential archives.
  • Manage premise handover logistics, utility transitions (TNB, SYABAS, Telecoms), and setup of foreign worker accommodations near the new Semenyih facility.

Qualifications & Requirements

  • Education: Diploma or Bachelor’s Degree in Human Resource Management, Business Administration, Industrial Relations, or equivalent.
  • Experience: 3 to 7 years of hands-on HR and General Administration experience strictly within a manufacturing environment.
  • Regulatory Expertise: Deep operational knowledge of the Employment Act 1955, Act 446, OSHA 1994 (Act 514), and Malaysian Immigration/Foreign Worker regulations.
  • ISO Audit Experience: Hands-on experience preparing and supporting ISO 9001 Quality Management System audits for HR and Admin procedures.
  • Technical Skills: Experience managing basic IT asset procurement, vendor control, and administrative IT coordination. Proficiency in HRIS systems, MS Office, and time attendance software.
  • Language Proficiency: Fluency in Bahasa Malaysia and English (both written and spoken) is required to engage with authorities, management, and factory operators.
  • Mobility: Must possess own transport and be fully willing and able to relocate working base from Seri Kembangan to Semenyih in Q*************.

Pay: RM4,000.00 - RM5,000.00 per month
