Role Description This is a full-time remote role for an Administrative Assistant at We Care Asia. The Administrative Assistant will handle day-to-day administrative and clerical tasks, including managing calendars, organizing digital files, preparing documents, and maintaining accurate records. The role involves answering phone calls and online inquiries, demonstrating professional phone etiquette while providing timely, clear information to patients, partners, and internal team members. The Administrative Assistant will support executives with scheduling, meeting coordination, and follow-up actions, while assisting with data entry, report preparation, and basic documentation related to patient coordination. This position requires consistent communication with internal and external stakeholders, helping ensure smooth operations and a supportive experience for patients and their families.


Qualifications

  • Strong Administrative Assistance and Clerical Skills, including scheduling, record keeping, document preparation, and digital file management.
  • Professional Phone Etiquette and Communication skills for handling inquiries, coordinating information, and interacting with diverse stakeholders.
  • Experience in Executive Administrative Assistance, supporting leaders with calendar management, meeting logistics, and follow-up tasks.
  • Proficiency with common office software and collaboration tools (e.g., email, spreadsheets, word processing, online conferencing platforms).
  • High level of attention to detail, organizational skills, and the ability to manage multiple tasks in a remote work environment.
  • Comfort working with international clients and an interest in healthcare, medical concierge services, or patient support.
  • Ability to work independently, maintain confidentiality, and demonstrate reliability and professionalism in all interactions.
  • Relevant certification or diploma in office administration, business, or a related field is beneficial; prior experience in healthcare or service-oriented industries is a plus.
  • Mandarin language proficiency is compulsory.
