Responsibilities
Job Overview
Responsible for the end-to-end coordination and operational management of the system application maintenance project. The role manages project scope, schedule, resources, SLA performance, deliverables, risks/issues, stakeholder communication and project documentation, while serving as the main coordination point between client, main-contractor and technical/functional teams.
Main Duties & Responsibilities
· Plan, coordinate and monitor project activities, milestones, deliverables and day-to-day operations against the agreed contract scope and schedule.
· Coordinate the project team and relevant technical resources; assign/follow up actions, manage dependencies and ensure timely completion of tasks.
· Manage client and vendor communication, including meetings, status updates, decisions and escalations.
· Track incidents, tickets, defects, change requests and service-level commitments; ensure findings, actions and resolutions are followed through within agreed SLA.
· Coordinate project scope covering system error management, reporting/data activities, data and supporting-document migration, integration support, and training/knowledge-transfer activities.
· Maintain project trackers, timelines, RAID/action logs, dashboards and management reports; highlight schedule variance, blockers, risks and required decisions.
· Prepare/facilitate project meetings and ensure agendas, minutes of meeting, action items and follow-up records are complete and traceable.
· Coordinate project deliverables, acceptance/supporting documents, invoicing/claim documentation and payment follow-up with the relevant finance and main-contractor teams.
· Coordinate technical readiness activities such as deployment, environment preparation, integration, testing, migration and go-live support when required by the project.
Other Responsibilities and Duties
· Maintain an organised project repository and ensure key correspondence, approvals, reports, trackers and handover records are properly filed and accessible.
· Coordinate team attendance/onsite coverage, leave impacts and operational support requirements to maintain project continuity.
· Support audits, management reviews, contract/deliverable clarification and other governance requirements related to the project.
· Identify opportunities to improve project tracking, reporting, communication and operating processes.
· Perform reasonable ad-hoc duties assigned by management in support of project delivery.
Skills and Experience
Academic Qualifications
Bachelor's Degree in Project Management, IT, Computer Science, Information Systems, Business Administration or a related field.
Experience
Minimum 3 years of experience in project coordination/project management, preferably in IT application maintenance, system integration or software delivery. Experience managing client/vendor stakeholders and government-sector projects is an advantage.
Skills
Project planning and tracking; stakeholder/vendor management; risk, issue and SLA management; strong documentation and reporting; Microsoft Excel, Word and PowerPoint; good written/verbal communication in Bahasa Malaysia and English; working understanding of SDLC, testing, deployment, integration and data migration; strong organisation, follow-up, problem-solving and prioritisation skills.
Pay: RM4,000.00 - RM5,000.00 per month
