Job Summary
The Purchasing Officer PROTÉGÉ will undergo structured on-the-job training while supporting the Procurement Department in ensuring the timely and cost-effective purchasing of goods and services required for hospital food service operations. The trainee will gain practical exposure to procurement planning, supplier management, inventory coordination, purchase documentation, and compliance with company policies and procurement procedures.
Key Responsibilities1. Procurement & Purchasing
- Assist in sourcing suppliers and obtaining quotations.
- Prepare Request for Quotation (RFQ) documents.
- Compare quotations based on price, quality, lead time, and service.
- Prepare Purchase Orders (PO).
- Follow up on purchase approvals.
- Monitor outstanding purchase orders.
- Ensure timely delivery of purchased items.
2. Supplier Management
- Maintain supplier database.
- Communicate with suppliers regarding quotations, deliveries, pricing, and product availability.
- Assist in supplier performance evaluations.
- Build and maintain good relationships with suppliers.
- Source alternative suppliers when required.
3. Inventory Coordination
- Coordinate with store personnel regarding stock requirements.
- Monitor inventory levels to prevent stock shortages.
- Assist in planning purchases based on consumption trends.
- Ensure sufficient stock is available for daily operations.
4. Documentation & Record Management
- Maintain procurement records and filing systems.
- Verify delivery orders, invoices, and purchase documents.
- Ensure all purchasing documentation is complete and accurate.
- Prepare procurement reports as required.
5. Cost Control
- Assist in monitoring procurement expenses.
- Compare supplier pricing to achieve cost savings.
- Support initiatives to improve purchasing efficiency.
- Identify opportunities for cost reduction without compromising quality.
6. Compliance
- Ensure purchasing activities comply with company procurement policies.
- Support compliance with food safety requirements, including HACCP and Halal requirements where applicable.
- Ensure purchased items meet required specifications and quality standards.
7. General Administration
- Prepare procurement reports and summaries.
- Coordinate with Finance regarding invoice verification and payment documentation.
- Liaise with Operations, Kitchen, Store, and suppliers to ensure smooth procurement processes.
- Perform other duties assigned by Management.

Requirements
- Diploma or Bachelor's Degree in:
- Supply Chain Management
- Procurement
- Business Administration
- Logistics
- Operations Management
- Finance
- or a related field.
- Fresh graduates are encouraged to apply.
- Good communication skills in Bahasa Malaysia and English.
- Proficient in Microsoft Office (especially Excel and Word).
- Good analytical and organisational skills.
- Willing to learn and work in a fast-paced hospital support services environment.

Working Hours
- Monday – Saturday: 8:00 AM – 5:00 PM
- Additional hours may be required based on operational needs.

Trainees will develop practical skills in purchasing, supplier management, inventory coordination, cost control, and procurement compliance, preparing them for future roles such as Purchasing Executive, Procurement Executive, Supply Chain Executive, or Buyer.
Pay: From RM2,000.00 per month
