Responsibilities

Driven by the expansion of our global fleet operations, we are have a new opportunity within our Singapore office. This is a junior administrator role which will play a key part in ensuring the smooth and compliant delivery of crewing operations, supporting daily manning activities, crew administration, and coordination across vessels and projects.

Working under the guidance of the Assistant Crewing Manager and/or Crewing Executive, you will contribute directly to the success and efficiency of our growing fleet by helping to keep day-to-day operations running smoothly. As this is a fast-paced environment, a high level of English is essential for the role.

This opportunity would be particularly suitable for a junior administrator looking to build a career within the maritime and subsea industry. Whilst previous crewing, shipping or administrative experience would be advantageous, we are also keen to hear from organised, motivated individuals who are eager to learn and develop within a global marine organisation. Full training and support will be provided to help the successful candidate grow their knowledge and experience within the sector.


The salary for this role is S$35,000 to S$50,000 per annum depending on experience.
Please note: Only candidates who reside in Singapore will be considered for this role.

Key Deliverables:

  • Provide administrative and operational support to ensure vessels and projects are manned in accordance with approved manning plans, SLAs, and crewing requests.
  • Assist in implementing agreed manpower plans by coordinating crew movements, reliefs, and assignments.
  • Liaise with third-party manning agents and suppliers to support crewing requirements and documentation follow-ups.
  • Maintain accurate and timely updates in the crew management system, including crew details, assignments, certificates, and travel information.
  • Support compliance with applicable legislation, company policies, and operating procedures related to crewing and payroll inputs.
  • Assist in monitoring crew availability, shortages, and over-supply, escalating issues to the Crewing Executive or Manager as required.
  • Provide first-line support for seafarer enquiries, welfare matters, and routine issues, escalating complex matters appropriately.
  • Assist with the coordination of crew travel, logistics, planning, visa applications, etc.
  • Prepare reports, trackers, and documentation related to crewing activities as required.
  • Available for additional administrative duties as assigned and assisting the Crewing Executives for ad-hoc tasks where appropriate.

Qualifications, Skills and Experience

  • High level of writing, reading and speaking English is required.
  • Previous experience in a busy, structured administrative or support role, preferably within crewing, maritime, or logistics operations.
  • Good interpersonal and communication skills, with the ability to work confidently, professionally and effectively with internal teams, seafarers, and external suppliers.
  • Strong organisational skills with a high level of attention to detail and the ability to manage and prioritise multiple tasks simultaneously.
  • Proficient in MS Office, Word and Excel with the ability and willingness to quickly learn crew management systems.
  • Ability to work as part of a team and follow established processes and instructions.
  • Willingness and ability to occasionally work outside normal office hours to effectively support stakeholders across different time zones.

Ideal:

  • Exposure to maritime crewing operations and basic understanding of marine terminology.
  • Awareness of immigration, certification, and compliance requirements for seafarers.
  • Experience working effectively with international stakeholders across different time zones.
  • Willingness to develop professionally and build a long term career within a crewing or fleet resourcing function.

The salary for this role is S$35,000 to S$50,000 per annum depending on experience.

Location: This role is based in the Singapore office and follows a hybrid working arrangement, with working 3 days in the office and 2 days working remotely each week.
