About Us: We are a boutique Australian accounting and taxation firm headquartered in Richmond, Melbourne, with offshore teams in Malaysia and the Philippines. Together, our teams support Australian businesses through accounting, taxation and administration services.

We are embarking on our AI transformation journey and are seeking an experienced AI & Workflow Automation Specialist to lead the design, implementation and ongoing improvement of AI and workflow automation across the business.

This is an exciting opportunity to work directly with the firm's Partner to shape how AI is adopted throughout the organisation while ensuring security, compliance and practical business value.

About the Role
As our AI & Workflow Automation Specialist, you will act as the firm's AI lead. Rather than developing AI models from scratch, your role will focus on understanding our business processes, identifying opportunities for improvement, recommending suitable AI and automation solutions, implementing them, and supporting long-term adoption across the organisation.

You will work closely with our Melbourne, Malaysia and Philippines teams to understand how work is currently performed and identify opportunities to eliminate repetitive manual tasks, improve efficiency and establish best practices for AI usage.

Key Responsibilities

Business Process Discovery & Analysis

  • Engage with stakeholders across Melbourne, Malaysia, and Philippines teams to map and understand existing workflows.
  • Analyze processes to identify repetitive, manual, or time-consuming tasks suitable for automation.
  • Prioritize AI and automation opportunities based on business impact and implementation effort.

AI & Automation Solution Design

  • Assess and recommend appropriate solutions, whether AI, workflow automation, or a hybrid approach.
  • Design scalable automation architectures aligned with specific business requirements.
  • Develop implementation roadmaps, project plans, and select suitable technology stacks.

Implementation & Integration

  • Build and deploy workflow automations and AI-assisted processes (e.g., PDF extraction, client onboarding, document management).
  • Develop and refine AI prompts, templates, assistants, and system integrations.
  • Integrate business applications to ensure seamless data flow and process execution.
  • Test, refine, and optimize solutions while maintaining comprehensive documentation.

AI Governance & Best Practices

  • Establish security, confidentiality, and compliance guidelines for AI usage.
  • Develop internal SOPs and policies for handling sensitive client information.
  • Assist management in shaping the firm's overarching AI governance framework.

Training & Change Management

  • Deliver AI awareness sessions and practical workshops to team members.
  • Train staff on effective prompting techniques and responsible AI usage.
  • Provide ongoing technical guidance and support to drive organizational adoption.

Requirements

  • Proven experience implementing AI and workflow automation within professional business environments.
  • Strong business process analysis and process improvement skills.
  • Ability to gather requirements and translate them into practical, scalable technical solutions.
  • Excellent stakeholder management and communication skills, with the ability to explain technical concepts to non-technical users.
  • Technical proficiency in automation platforms and tools such as Microsoft Power Automate, *************, n8n, or Zapier.
  • Experience with LLM platforms (e.g., ChatGPT, Claude, Google Gemini) and prompt engineering.
  • Working knowledge of API integrations and data processing (e.g., OCR, Excel automation).
  • Ability to work independently in a remote environment while collaborating across international time zones.

Nice to Have

  • Experience with the Microsoft 365 ecosystem (SharePoint, Outlook automation).
  • Knowledge of accounting platforms such as Xero or similar software.
  • Experience in change management and supporting organizational digital transformation.

Pay: RM40.00 - RM50.00 per hour
