Roles
Responsible for establishing and maintaining an efficient and standardized administrative management system for the Training Center, supporting its daily operations; ensuring orderly conduct of all administrative affairs including planning, budgeting, procurement, meetings, assets, logistics, reception, publicity, and team building; ensuring smooth implementation of training activities; enhancing the Training Center's operational efficiency and brand image; and fostering an integrity-based, compliant, and positive team culture.
Main Responsibilities
Company Event and Publicity
- Responsible for external visitor, formulating visitor / delegate standards and processes, and arranging tour routes, presentations, and exchange activities;
- Organize the preparation of Training Centre introduction materials, including brochures, videos, display boards, website, and social media content;
- Plan and organize brand promotion activities, including open days, industry visits, and school-enterprise cooperation events.
Logistics Support
- Responsible for building the Training Centre's logistics support system, ensuring basic support services such as food, accommodation, and transportation meet training needs;
- Responsible for event support, including venue setup, material preparation, and on-site coordination for training opening/closing ceremonies, celebrations, and cultural and sports activities.
Meeting and Records Management
- Responsible for organizing and coordinating various Training Centre meetings, including meeting notices, agenda arrangement, venue preparation, minute writing, and resolution tracking;
- Establish a records management system, standardizing document receipt/dispatch, archiving, storage, and retrieval processes to ensure documents are complete and traceable.
Planning and Budgeting
- Responsible for preparing the Training Centre's annual work plan, budget proposal, and funding requirement plan, and organizing implementation after approval by the Centre Director;
- Responsible for procurement management, including requirement collection, supplier evaluation, tendering/price comparison, contract signing, acceptance, and payment tracking.
Asset Management
- Responsible for the Training Centre's fixed asset ledger management, establishing asset coding, classification, inventory, and transfer systems;
- Organize regular asset inventories to ensure records match actual assets, and promptly handle inventory surpluses/deficits and disposals;
- Responsible for daily O&M management of training facilities and equipment, coordinating repair, maintenance, and renewal work;
- Establish asset O&M standards and preventive maintenance plans to extend asset service life and reduce O&M costs;
- Responsible for asset insurance management, coordinating insurance coverage and claims.
Team Building
- Responsible for integrity culture building, formulating integrity practice standards, conducting integrity education, and preventing corruption risks;
- Responsible for compliance management, ensuring administrative work complies with local laws and regulations and company rules;
- Responsible for institutional development, establishing a sound administrative management system
Work Experience
- Minimum 8 years of relevant working experience in administration, corporate services, facilities management, general affairs or a related function, with at least 3 years in a managerial or supervisory capacity.
