Qualifications & Experience
Diploma or Degree in Human Resource Management, Business Administration, or related field
Minimum 2-3 years of relevant working experience in HR and administration
Experience handling foreign workers is an added advantage
Experience in manufacturing environment is preferred
Skills & Competencies
Basic knowledge of Malaysian labour laws and HR practices
Familiarity with foreign worker regulations and administration
Good organizational, coordination, and administrative skills
Proficient in Microsoft Office applications (Word and Excel)
Good communication and interpersonal skills
Able to work independently and handle multiple tasks
Strong sense of responsibility and confidentiality

Responsibilities
Role Overview
The HR Executive will support the Human Resources and Administration functions of the company and work closely with Management in ensuring smooth daily operations. This role requires a hands-on individual who is able to assist in managing HR matters, employee administration, foreign worker affairs, and staff coordination while ensuring compliance with company policies and labour regulations.
The successful candidate must be responsible, organized, proactive, and able to support Management in handling day-to-day operational and people-related matters.
The successful candidate must also be well-verse with end-to-end Foreign Workers Management and related matters.
Key Responsibilities
Support and assist Management in daily HR and administrative operations
Assist in recruitment activities including job postings, candidate screening, interview coordination, and onboarding
Prepare employment letters, contracts, confirmation letters, warning letters, and other HR documentation
Maintain and update employee records, attendance, leave, and HR databases
Support payroll preparation and ensure proper documentation for statutory compliance including EPF, SOCSO, and EIS
Monitor employee attendance, discipline, and compliance with company policies
Handle staff enquiries relating to HR matters, leave, attendance, and company policies
Assist Management in implementing HR policies, procedures, and company rules
Support employee engagement, training coordination, and staff welfare activities
Assist in disciplinary matters, investigations, counselling records, and related documentation
Prepare HR reports, manpower reports, and administrative reports as required by Management
Ensure proper filing and confidentiality of employee records and company information
Assist in managing foreign worker administration including permit applications, renewals, hostel matters, and documentation
Liaise with government authorities, agents, clinics, and embassies when required Monitor expiry dates for work permits, passports, and related documents to ensure timely renewal
Maintain proper records and compliance documentation for foreign workers
Assist in coordinating transportation, accommodation, and welfare matters for foreign workers when required
Coordinate and follow up on tasks assigned by Management
Assist in monitoring office and factory administrative matters
Support Management in ensuring smooth communication and coordination between departments
Undertake additional HR and administrative duties as assigned from time to time
