1–3 years in sales admin, sales coordination, order processing or customer service for a goods-based business

Has personally raised sales orders and delivery orders in a system, not just filed them

Can use lookups and filters, and can explain a formula they use regularly

Comfortable checking prices, quantities and totals under time pressure

Fluent Bahasa Malaysia /Mandarin; functional written and spoken English

SPM with credits in Mathematics, English and Malay, or higher

Receive customer purchase orders from the sales team, counter staff, phone, email and WhatsApp.

Verify pricing, quantity, product code, delivery address, terms and customer credit status before processing any order.

Raise accurate sales orders and delivery orders in the system.

Ensure signed delivery orders are returned, matched to the sales order and passed to Accounts for invoicing.

Check stock availability; advise the sales team and customers on shortages, substitutions and realistic lead times.

Coordinate delivery scheduling with the warehouse and drivers, and arrange transport where required.

Coordinate customer self-collection at the counter: confirm readiness and reserve stock.

Raise purchase requisitions for fast-moving items and follow up with suppliers on outstanding purchase orders and arrival dates.

Handle customer enquiries on pricing, availability and delivery status; prepare quotations from the approved price list.

Maintain the customer master file, product codes and price list in the system.

Process customer returns and exchanges, and notify Accounts so credit notes can be issued.

Prepare weekly and monthly reports on orders received, back orders, delivery performance and stock movement.
