Job Purpose
Responsible for planning, coordinating and executing Club social and family events, partnerships and activations from concept to completion. The role also supports departmental budget management, maintains the Club-wide event calendar, manages external enquiries and proposals, and coordinates with internal and external stakeholders to ensure successful delivery of events and initiatives.
Key Responsibilities
- Event Planning, Execution & AdministrationPlan and execute Club social and family events, member activities, corporate events, tournaments, partnerships and activations.
- Develop event concepts, proposals, timelines, budgets and operational plans.
- Coordinate all event logistics including venue, F&B, audiovisual, décor, entertainment, transportation and manpower.
- Manage vendors and suppliers, including quotations, negotiations, production timelines and delivery.
- Coordinate the updating, production and installation of Club signage and advertising assets, including banners, posters, hoardings, directional signage and other promotional materials.
- Liaise with designers, vendors and relevant departments to ensure all signage and advertising assets are accurate, up-to-date, properly maintained and aligned with the Club’s branding standards.
- Prepare event proposals, presentation decks, approval papers, budgets and Management updates.
- Coordinate procurement requirements including purchase requisitions, purchase orders, invoices and payment documentation.
- Provide on-site event coordination and resolve operational issues when required.
- Prepare post-event reports and maintain proper event documentation and records.
2. Budget Management & Forecasting
- Monitor and maintain the overall departmental budget, including actual and committed expenditure.
- Prepare and update the monthly budget forecast and highlight significant variances.
- Attend monthly budget/forecast meetings and provide relevant financial updates.
- Support annual departmental budget planning and ensure proper documentation of quotations, POs and invoices.
3. Club Event Calendar
- Maintain and regularly update the Club-wide master event calendar.
- Coordinate with departments to consolidate upcoming events, tournaments, member activities and key Club initiatives.
- Identify potential scheduling conflicts and communicate updates to relevant stakeholders.
4. Enquiries, Partnerships & Proposals
- Review and respond to incoming enquiries on a weekly basis, including partnerships, sponsorships, collaborations, photoshoots/filming and event proposals.
- Coordinate internal assessment and obtain Management approval where required.
- Maintain proper tracking and follow-up of enquiries, proposals and agreed deliverables.
- Evaluate opportunities based on brand suitability, member benefits, operational feasibility and potential commercial value.
5. Stakeholder & Vendor Management
- Build and maintain good working relationships with members, partners, sponsors, vendors, suppliers and internal departments.
- Act as a key point of contact for event-related enquiries and requirements.
- Coordinate closely with Marketing, Golf Operations, F&B, Banquet, Finance, Security and other departments for event delivery.
- Source quotations, negotiate with vendors and monitor agreed timelines and deliverables.
Qualifications & Experience
- Bachelor’s Degree or Diploma in Event Management, Marketing, Communications, Hospitality, Business Administration or a related field.
- Minimum 3–5 years of relevant experience in event management, hospitality, marketing, lifestyle, club operations or a related industry.
- Proven experience in managing events from planning through execution.
- Experience in budget management, forecasting and vendor management is preferred.
- Experience working with multiple internal and external stakeholders will be an advantage.
- Proficient in Microsoft Office, particularly PowerPoint and Excel.
