Job Description

Responsibilities

We are seeking a proactive and detail-oriented Operations Coordinator for one of our global shipping clients. The role will provide administrative and operational support to the Marine Operations team, with a key focus on vessel vetting, inspections, audits and regulatory documentation.

The ideal candidate would have a Diploma in Maritime Studies, Business or a related discipline, with strong coordination and administrative skills. Candidates with exposure to marine operations, vetting, SIRE, PSC or vessel documentation would be advantageous.

Key Responsibilities

  • Provide day-to-day administrative and operational support to the Marine Operations team.
  • Prepare weekly, monthly and quarterly reports, meeting agendas and presentation materials.
  • Support TMSA audit preparation and compile data for Quarterly Management Reviews (QMR).
  • Coordinate vessel vetting and SIRE inspections with vessels, ship teams, oil companies and agents.
  • Maintain and update Q88, HVPQ, Officer Matrix and OCIMF/SIRE records.
  • Follow up on SIRE, PSC and audit findings, responses, reports and related documentation.
  • Track Navigation, Cargo and Mooring audits and follow up on the closure of outstanding items.
  • Support other operational and administrative matters as required by the Marine Operations team.

Qualifications

  • Diploma in Maritime Studies, Business or a related discipline, or relevant administrative experience.
  • Prior experience within the shipping or maritime industry would be advantageous.
  • Exposure to SIRE, OCIMF, PSC, TMSA, Q88 or vessel vetting would be an advantage.
  • Proficient in Microsoft Office applications.
  • Strong organisational and time management skills with good attention to detail.
  • Self-motivated and able to manage multiple tasks with minimal supervision.
  • Good interpersonal and communication skills with the ability to work effectively across different stakeholders.
