1. Talent Acquisition & Onboarding
- Coordinate the end-to-end recruitment process, including posting job advertisements, screening resumes, and scheduling interviews for retail and HQ roles.
- Manage candidate communications, conduct initial background checks, and prepare employment offer letters or contract documents.
- Lead the onboarding process for new hires, ensuring all required documentation is collected, system profiles are created, and company orientations are conducted smoothly.
- Facilitate the offboarding process, including preparing resignation acceptance letters, coordinating exit interviews, and calculating final clearance/short-notice payments.
2. Payroll & Benefits Administration
- Assist in processing monthly payroll, ensuring accurate calculations of basic salaries, overtime, allowances, unpaid leave, and deductions.
- Manage and ensure timely submission of statutory contributions, including EPF, SOCSO, EIS, and PCB (LHDN) in compliance with Malaysian statutory laws.
- Administer employee benefits programs, including medical, leave tracking (annual, medical, hospitalization), and staff claims processing.
3. Employee Relations & Compliance
- Interpret, communicate, and ensure compliance with the Employment Act 1955 and company policies across all outlets and offices.
- Act as an objective point of contact for employee grievances, counselling requests, and workplace conflict resolution.
- Support management in handling disciplinary matters, including drafting Show Cause Letters, Warning Letters, and Performance Improvement Plans (PIPs).
- Maintain and safeguard highly confidential personnel files, ensuring the HR database (HRIS) is consistently up-to-date.
4. Performance Management & Training
- Assist in coordinating the annual or probation performance appraisal cycles, tracking completion timelines, and compiling evaluation data.
5. Quality, Safety & Policy Compliance
- Review and update the Employee Handbook and corporate policies (e.g., Whistleblowing Policy, Code of Conduct) to reflect evolving statutory requirements.
- Assist in internal audits to ensure employee data accuracy, proper filing of workplace incident reports, and compliance with ethical standards.
- Coordinate company welfare initiatives, team-building activities, and staff engagement programs to cultivate a positive corporate culture.
6. Business Development & HR Analytics
- Compile and analyse monthly HR metrics, such as employee turnover rates, headcount reports, and recruitment costs, to support management decisions.
- Identify operational bottlenecks in HR administrative processes and suggest digital tools or automation workflows to improve efficiency.
- Assist in HR-related preparation for expansion plans, including manpower budgeting projections and talent pipeline mapping for new project or outlet launches.
- Perform any other administrative tasks and ad-hoc duties as assigned by management from time to time.
- Prepare and process confirmation, extension of probation, or promotion letters based on management decisions.
- Coordinate training schedules, manage HRD Corp (HRDF) claim submissions, and maintain training records for compliance and audit readiness.
Requirement:
- Bachelor's degree in Human Resource Management, Business Administration, or a related field
- Minimum of 1-2 years of experience in a generalist HR role, preferably within a consultancy or shared services environment
- Strong knowledge of Malaysian employment laws and HR best practices
- Excellent communication and interpersonal skills, with the ability to effectively liaise with employees at all levels
- Proficiency in Mandarin language is an added advantage
- Proficient in Microsoft Office applications, particularly Excel and PowerPoint
- Strong problem-solving and decision-making skills, with the ability to work independently and as part of a team
- A proactive, detail-oriented, and customer-focused approach to work
Location: Bandar Mahkota Cheras
Pay: RM3,300.00 - RM3,500.00 per month
