Key Responsibilities
1. Document Management
- Maintain an organized filing system for all project documentation, both physical and electronic.
- Ensure all documents, drawings, and reports are correctly classified, numbered, and stored.
- Implement version control and update logs for all project documents.
- Monitor and track incoming and outgoing documents to and from subcontractors, vendors, and stakeholders.
2. Submission & Approval Tracking
- Track submission, review, and approval status of key project documents, including TPs, BOQs, SAT documents, as-built drawings, and test reports.
- Coordinate with multiple workstream leads and subcontractors to ensure timely submission and approval of documents.
- Maintain a master document register for reference and reporting purposes.
3. Reporting & Communication
- Provide timely updates to the internal management team on document status, approvals, and pending actions.
- Support preparation of project reports, presentations, and submission packages for internal and external stakeholders including MCMC, ATM and relevant parties.
- Facilitate communication of document revisions and approvals to all relevant project teams.
4. Compliance & Quality
- Ensure all project documentation complies with TM FTTH standards, SOPs, and project quality requirements.
- Maintain records for audits, inspections, and SAT readiness.
- Implement procedures to prevent loss, misplacement, or unauthorized access to project documents.
5. Administrative Support
- Assist in archiving completed project documentation and final as-built records.
- Support other project administrative requirements as directed by the Project Manager or Project Coordinator/Executive.
Requirements
- Bachelor’s Degree in Engineering, Project Management, or related field.
- 2–5 years of experience in document control, preferably in telecom or construction projects.
- Strong organizational, filing, and document management skills.
- Proficiency in document control software, Microsoft Office, and collaboration tools.
- Attention to detail, accuracy, and ability to meet deadlines.
- Strong communication and coordination skills to liaise with multiple project teams and stakeholders.
- Familiarity with FTTH, telecom standards, and project documentation requirements is preferred.
- Must possess a valid Class D driving license.
