We are seeking a detail-oriented and proactive Admin Clerk to join our Merchandising Department. In this role, you will play a key part in processing purchase orders, coordinating deliveries across departments, managing Good Receive Notes (GRN), and liaising with store management and clients to ensure smooth supply chain operations.
Key Responsibilities / Job Scope:
Purchase Order (PO) Processing:
- Receive, verify, and process Purchase Orders (POs) from major retail/merchandising clients (e.g., myNEWS, CU Mart, 7-Eleven, etc.) in a timely and accurate manner.
Delivery & Inventory Coordination:
- Coordinate and arrange delivery schedules for issued POs.
- Work closely with the Logistics Department to ensure on-time delivery.
- Perform stock checks and verify availability with the Store/Warehouse Department prior to dispatch.
GRN Verification & B2B Portal Management:
- Counter-check Goods Receive Notes (GRN) received from retail outlets against corresponding POs and invoices.
- Upload completed and verified GRNs onto respective B2B portals for accurate record-keeping and billing processing.
Outlet & Account Communication:
- Communicate and follow up with Outlet Person-In-Charge (PICs) or Area Managers to resolve, verify, or rectify incorrect/missing GRNs or out-of-stock items.
- Ensure clear documentation and resubmission of corrected GRNs where applicable.
- Order Tracking & Follow-ups:
- Monitor client POs and actively follow up with clients/outlets if an issued order does not meet the Minimum Order Quantity/Amount (MOQ) for delivery.
- Identify outlets with no order activity over extended periods and proactively follow up to encourage reordering.
Requirements & Qualifications:
- Education: SPM / STPM / Diploma in Business Administration, Supply Chain, Logistics, Merchandising, or related fields.
- Experience: Minimum 1–2 years of relevant administrative or retail operations support experience (experience dealing with retail B2B portals or major convenience store chains is an added advantage).
- Skills:
- Proficient in MS Office (especially MS Excel and Word).
- Familiarity with B2B portals and basic inventory/ERP software.
- Strong communication skills in English and Bahasa Malaysia (Mandarin is a plus).
- High attention to detail, organization, and problem-solving skills.
- Ability to multitask and coordinate effectively between internal departments (Logistics, Warehouse) and external clients/outlet managers.
Job Type: Full-time
Pay: RM1,800.00 - RM2,500.00 per month
