Are you an organized, detail-oriented professional who enjoys creating exceptional employee experiences while keeping office operations running smoothly? We're looking for an HR & Administration Coordinator to support our International HR team in Singapore.

In this role, you'll be a key contributor to the employee lifecycle, helping coordinate recruitment, onboarding, employee engagement initiatives, training programs, and office administration activities. You'll play an important role in fostering a positive workplace culture while ensuring efficient and compliant HR processes.

What You'll Do

Human Resources Coordination

• Support recruitment activities, including job postings, interview scheduling, candidate communications, and hiring administration.
• Coordinate onboarding processes, including pre-employment documentation, work authorization support, orientation scheduling, and travel arrangements.
• Maintain employee records, HR documentation, and personnel files with a high level of accuracy and confidentiality.
• Manage HR trackers for onboarding, probation reviews, contract renewals, employee movements, and offboarding activities.
• Assist employees with HR system inquiries and ensure employee information remains up to date.
• Support employment pass and work authorization renewal activities.
• Prepare headcount reports and maintain HR metrics and reporting.
• Coordinate employee training programs and maintain training records.
• Help organize employee engagement programs, wellness initiatives, company events, and recognition activities.

Office & Administrative Support

• Help maintain a professional, organized, and welcoming office environment.
• Coordinate office vendors and services, including supplies, facilities, courier services, and building management.
• Monitor inventory and support purchasing activities.
• Assist with meeting coordination, travel arrangements, and general administrative support.

Collaboration & Employee Experience

• Build positive relationships with employees, managers, vendors, and external partners.
• Provide responsive support that enhances the employee experience.
• Assist with HR projects, regional initiatives, and special assignments.
• Handle sensitive employee and business information with the highest level of professionalism and discretion.

What We're Looking For

Associate Degree in Human Resources, Business Administration, or a related field (Bachelor's Degree preferred)

1-2 years of experience in Human Resources, Office Administration, or a similar coordinator role

Authorized to work in Singapore without employer sponsorship

Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and HRIS platforms

Strong communication and interpersonal skills

Exceptional organizational skills with the ability to manage multiple priorities

Strong attention to detail and commitment to accuracy

Ability to work independently and collaboratively in a fast-paced environment

Adaptable, resourceful, and proactive in supporting changing business needs

High integrity and the ability to maintain confidentiality
