Responsibilities
Job Purpose: The Business Admin supports the company's day-to-day commercial operations by preparing accurate costing calculations, maintaining good customer relationships, and handling administrative tasks that keep the business running smoothly.
Key Responsibilities:
1. Costing & Quotation
· Prepare costing calculations for products and services, including materials, labour, overhead and margin.
· Obtain and compare supplier quotations and keep cost data up to date.
· Prepare and issue quotations to customers in a timely manner.
· Analyse cost variances and highlight pricing issues or risks to management.
· Maintain costing sheets, price lists and related records accurately.
2. Customer Relations
· Act as a main point of contact for customers via email, phone and in person.
· Handle customer enquiries, purchase orders, delivery follow-ups and complaints professionally.
· Coordinate with internal teams (production, purchasing, logistics, finance) to meet customer requirements and deadlines.
· Maintain customer database and records of communication.
· Support relationship building to encourage repeat business.
3. Sales & Order Administration
· Process sales orders, delivery orders and invoices.
· Track order status and update customers on progress.
· Liaise with the finance team on billing, payment follow-up and account reconciliation.
4. General Business & Office Administration
· Prepare reports, presentations and business documents as required.
· Maintain filing systems (physical and digital) and ensure document control.
· Assist in tender, contract and supplier documentation.
· Coordinate meetings, schedules and correspondence.
· Support management and other departments with ad-hoc tasks related to company business.
Requirements:
- Diploma or Degree in Business Administration, Accounting, Finance, Marketing or a related field.
- 1–3 years of experience in business administration, sales administration, costing or customer service (fresh graduates with relevant skills may be considered).
- Strong numerical skills and attention to detail, with experience in costing or pricing calculations.
- Proficient in Microsoft Office, especially Excel (formulas, pivot tables); knowledge of ERP/accounting software is an advantage.
- Good communication skills in English, Mandarin & Bahasa Malaysia.
- Customer-oriented, with good negotiation and problem-solving skills.
- Well organised, able to multitask and meet deadlines.
- Team player with integrity and a positive attitude.
Pay: RM2,800.00 - RM4,000.00 per month
