Job Overview

We are looking for an experienced and detail-oriented Procurement Executive to manage purchasing activities, supplier relationships, inventory planning, and procurement operations. The successful candidate will ensure cost-effective purchasing, timely deliveries, and smooth coordination between suppliers, logistics, warehouse, and production teams.

Job Requirements

• Possess at least a Professional Certificate, Diploma, Advanced / Higher / Graduate Diploma in Procurement or equivalent qualification.

• Have 4–5 years of working experience, including 2–3 years specifically in purchasing and negotiation.

• Proficient in computer applications, particularly ERP systems.

• Strong communication, negotiation, and interpersonal skills.

• Mandarin-speaking ability will be an added advantage.

• Good understanding of procurement processes, supplier management, and inventory control.

• Strong organisational skills with the ability to manage multiple purchasing activities.

• Able to work independently and coordinate effectively with internal departments and external suppliers.

• Process purchase orders by liaising with suppliers or principals.

• Review stock purchases by monitoring market conditions, current stock levels, manufacturing lead times, potential price increases, anticipated customer orders, and suppliers' conditions.

• Ensure all purchases are approved according to company guidelines.

• Avoid overstocking by working closely with the Sales Team and Warehouse Manager on slow-moving inventory.

• Track annual purchasing commitments to principals.

• Assist in sourcing new goods locally and international that are not supplied by regular principals or suppliers.

• Arrange air and sea freight and liaise with freight forwarders regarding services and costs.

• Manage local and international purchase enquiries.

• Ensure insurance declarations are completed for purchases.

• Calculate the cost of purchased goods, including freight charges, and ensure departmental operating costs remain under control.

• Organise the purchasing team to ensure balanced workloads, proper duty coverage, and adequate training.

• Regularly review procurement processes to streamline operations, improve efficiency, and reduce paperwork and rework.

• Ensure seamless coordination with the logistics, warehouse, and production departments.

• Monitor price fluctuations and communicate with suppliers regarding changes when necessary.

• Communicate company requirements and objectives to vendors to ensure long-term business benefits.

• Work closely with vendors to ensure products are delivered just in time.
