We are looking for an experienced Manager, Administration to lead and manage the delivery of reliable, efficient and customer-focused administration, workplace and office maintenance services.
Reporting to the Head of People Services, the successful candidate will oversee administrative operations, office maintenance and upkeep, workplace services, vendor and service provider management, as well as service improvement initiatives. This role will ensure a well-maintained, safe and effective workplace environment, supported by strong governance, service quality and cost efficiency, in line with the organisation’s operational needs.
Key Responsibilities
- Lead workplace and front desk operations, including meeting facilities, common areas, pantry services and general office support.
- Oversee administrative assets and services, including office equipment, company vehicles, fuel cards, corporate mobile lines and storage facilities.
- Coordinate workplace planning and improvement initiatives, including office restacking, minor renovations, refurbishments and workstation arrangements.
- Manage administrative vendors, contracts, licenses, service performance and relationships with relevant authorities and service providers.
- Oversee administrative expenditure, procurement documentation, invoice processing, billing accuracy and financial controls.
- Manage employee access and attendance administration, as well as designated employee facilities.
- Establish service standards, performance indicators and operating controls while driving cost efficiency, service improvement and business continuity.
- Lead and develop the Administration Services team to deliver consistent and responsive support.
Requirements
- Bachelor’s degree in Business Administration, Management, Facilities Management, Property Management or a related discipline.
- At least 7 years of relevant experience, including a minimum of 3 years in a managerial or supervisory capacity.
- Proven experience managing workplace and office maintenance services, vendors, contracts, budgets, assets, fleet operations or administrative projects.
- Strong leadership, stakeholder management, negotiation and problem-solving capabilities, with the ability to manage multiple operational priorities effectively
- Sound knowledge of procurement processes, financial controls, workplace health and safety, governance, compliance and audit requirements.
