  • Maintain accurate employee records, personnel files, HR documentation, and HRIS data.
  • Prepare employment contracts, confirmation letters, promotion letters, warning letters, employment certificates, and other HR correspondence.
  • Monitor attendance, leave, timekeeping, and related irregularities and escalate concerns when required.
  • Coordinate payroll inputs, employee benefits, insurance enrolment/claims, and statutory-related HR administration.
  • Manage end-to-end expatriate administration, including Employment Pass/work permit applications, renewals, cancellations, and supporting documentation.
  • Support HR reporting, dashboards, audits, compliance reviews, and HR data reconciliation.
  • Coordinate office administration, HR vendors, supplies, employee-related expenses, and other operational requirements.
  • Work closely with the HR team and Global HR Team to continuously improve HR processes and employee experience.

What We're Looking For:

  • Bachelor's Degree in Human Resources, Business Administration, Psychology, or a related discipline.
  • 1–3 years of HR Generalist or HR Operations experience, preferably covering recruitment, HR administration, employee lifecycle management, and employee relations.
  • Hands-on experience managing end-to-end expatriate employment processes, including work permits/Employment Passes, renewals, and cancellations.
  • Good understanding of Malaysian Employment Law and HR best practices.
  • Experience using HRIS platforms and strong proficiency in Microsoft Excel/Google Sheets.
  • Strong attention to detail with the ability to maintain accurate HR records and documentation.
  • Good communication and stakeholder management skills with cross-cultural sensitivity.
  • Strong interpersonal skills and ability to handle sensitive employee matters professionally and confidentially.
  • Proactive, resourceful, and comfortable following up with stakeholders to ensure tasks are completed.
  • Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines.
  • Able to work independently, take ownership, and perform effectively under pressure.

Preferred Experience:

  • FinTech, Financial Services, Forex, Crypto, Technology, or multinational organizations.
  • Experience supporting regional or remote employees.
  • Experience with Darwinbox, Deel, or similar HRIS/EOR platforms.
  • Experience coordinating payroll, insurance, and employee benefits.
  • Experience working with immigration agencies, government authorities, or external HR vendors.
  • Exposure to employee relations, disciplinary processes, PIPs, and HR compliance matters.

Interview Process:

Stage 1 – Initial Interview (HR Screening)

  • Introduction, career background, communication, motivation, and role alignment.

Stage 2 – Experience & Culture Fit
