Responsibilities

Position: Secretary to Chairman

We are seeking a highly organised, professional, and trustworthy Secretary to Chairman to provide dedicated secretarial and administrative support to the Chairman. The successful candidate will be responsible for managing the Chairman’s schedule, correspondence, meetings, documents, and day-to-day administrative matters with a high level of confidentiality and professionalism.

Key Responsibilities

  • Manage the Chairman’s daily schedule, appointments, meetings, and travel arrangements.
  • Coordinate and arrange meetings with internal management, clients, business partners, government agencies, and other stakeholders.
  • Prepare meeting agendas, minutes, reports, presentations, correspondence, and other documents as required.
  • Handle incoming and outgoing correspondence, emails, phone calls, and other communications on behalf of the Chairman.
  • Maintain proper filing and organisation of confidential documents and records.
  • Follow up on matters, action items, and instructions given by the Chairman to ensure timely completion.
  • Assist in preparing materials and documentation for Board and management meetings.
  • Liaise professionally with senior management, directors, government officials, business associates, and external parties.
  • Make travel, accommodation, transportation, and other arrangements when required.
  • Perform other administrative and secretarial duties as assigned by the Chairman.

Requirements

Experience:
Proven experience as a Secretary, Personal Assistant, Executive Assistant, or similar role supporting senior management, directors, or C-level executives.

Education:
Diploma or Bachelor’s Degree in Secretarial Studies, Business Administration, Office Management, or a related field.

Technical Skills:
Proficient in Microsoft Office Suite, particularly Word, Excel, PowerPoint, and Outlook. Familiarity with online meeting and collaboration tools is an advantage.

Communication:
Excellent verbal and written communication skills in English and Bahasa Malaysia, with the ability to communicate professionally with senior management and external stakeholders.

Confidentiality & Integrity:
High level of integrity, discretion, and professionalism, with the ability to handle sensitive and confidential information with absolute confidentiality.

Organisational Skills:
Excellent time management, organisational, multitasking, and follow-up skills, with strong attention to detail.

Personal Attributes:
Professional, well-presented, proactive, responsible, resourceful, and able to work independently with minimal supervision. Must be comfortable working in a fast-paced environment and handling matters requiring discretion and urgency.

Additional Advantage

  • Experience working directly with a Chairman, Managing Director, CEO, or Board of Directors.
  • Experience in preparing Board papers, meeting minutes, and corporate correspondence.
  • Proven working experience as a personal secretary, executive assistant, or administrative professional supporting senior management.

Pay: RM2,530.52 - RM3,814.87 per month
