Senior Human Resources and Adminstration Executive

We are looking for a hands-on, independent and detail-oriented Senior HR & Administration Executive to support the day-to-day HR and administrative operations of Pictureworks (Hong Kong) Limited.

Working closely with the Head of Human Resources at Group/HQ level, you will be the key HR support person on the ground in Hong Kong and Macau. This is a highly operational role suited to someone who is comfortable personally handling HR administration from start to finish — from payroll, timesheets and MPF to recruitment, employee documentation and everyday office matters.

You should be resourceful, organised and able to work independently with minimal supervision while keeping Group HR updated on key matters.

What You’ll Be Doing

  • Handle monthly payroll preparation and checking, including allowances, incentives, deductions, leave adjustments and final payments.

  • Check and maintain timesheets, attendance, working hours, overtime and leave records, including records for part-time employees.

  • Manage MPF administration, including enrolment, contributions, cessation and follow-up with the MPF provider.

  • Handle recruitment coordination from job posting and CV screening to interview arrangements, offers and onboarding.

  • Prepare employment contracts, confirmation letters, salary adjustment letters and other HR correspondence.

  • Manage employee onboarding, probation tracking, confirmation, resignation, termination and offboarding administration.

  • Maintain accurate employee records, personnel files and HR system information.

  • Attend to employees’ day-to-day HR enquiries and follow up on outstanding HR matters.

  • Work closely with the Head of HR at Group/HQ level on employee relations, performance, disciplinary and other HR matters.

  • Implement and follow Group HR policies, procedures and processes within the Hong Kong/Macau operation.

  • Handle general office administration, including supplies, vendors, facilities, maintenance, courier and other day-to-day office needs.

  • Liaise with Finance, Group/HQ, external vendors and service providers.

  • Prepare HR reports and provide regular updates to Group HR.

  • Handle other HR and administrative duties as required.

Who We’re Looking For

  • Diploma or Degree in Human Resources, Business Administration or related discipline.

  • Around 4–6 years of hands-on HR and administration experience in Hong Kong.

  • Practical experience handling payroll, MPF, timesheets/attendance and general HR administration is important.

  • Familiar with Hong Kong and Macau employment practices and statutory requirements.

  • Comfortable handling both full-time and part-time employee administration.

  • Good Excel and numerical skills with strong attention to detail.

  • Able to work independently and manage tasks from start to finish with minimal supervision.

  • Strong follow-up skills — someone who takes ownership and ensures matters are properly closed.

  • Comfortable with administrative and detailed work; no task is considered too small when it needs to get done.

  • Resourceful and able to resolve day-to-day operational issues independently.

  • Able to prioritise multiple deadlines, particularly payroll and statutory submissions.

  • Mature, responsible and discreet when handling confidential employee information.

  • Good command of English and Cantonese; Mandarin is an advantage.
