Support the Operations Coordinator with daily customer service and operational tasks.

Convert client requests into clear tasks with the correct details, deadlines and supporting files.

Monitor outstanding tasks and follow up with Marketing, IT and Graphic Design.

Provide routine client updates and collect information, feedback and approvals.

Escalate delays, complaints and blockers to the Operations Coordinator promptly.

Perform initial completion checks on files, links, information and approvals before handover.

Maintain accurate records in Project Management Software, Google Drive, client handbooks and company systems.

Assist with office administration, supplies, cleaners, building matters, rosters and documentation.

Prepare meeting notes and operational reports when required.

Use approved AI and automation tools to improve routine work and productivity.

Strong written and spoken English and Mandarin.

Experience in customer service, administration or operations is preferred.

Highly organised, with strong attention to detail and follow-through.

Clear and professional communication with clients and internal team members.

Able to manage multiple tasks and deadlines without losing important details.

Comfortable using Google Workspace and Microsoft Office.

Willing to learn AI tools, automation and company systems.

Strong work ethic, honesty and accountability.

Proactive in identifying problems and asking for help before deadlines are missed.

Able to work independently while following the Operations Coordinator’s direction.
