About the Role
Our client is a well-funded, mission-driven AI safety company at the forefront of large-scale AI research and deployment, with a rapidly growing presence across the Asia-Pacific region. You will be the operational backbone of their regional talent acquisition function — ensuring every candidate experiences a seamless, warm, and professionally impressive hiring journey. This is a high-impact, high-visibility role for someone who thrives on bringing order to complexity, takes pride in flawless execution, and genuinely believes that great hiring operations are a competitive advantage. If you are energised by fast-moving environments, love building processes from scratch, and want your work to matter at a company shaping the future of AI, this role is for you.
Key Responsibilities
Own end-to-end interview scheduling across the full APAC hiring cycle — from hiring manager screens and panel interviews through to debriefs, reference checks, and onsite coordination — across multiple time zones and stakeholder calendars
Schedule and coordinate interviews across the full hiring process — including recruiter screens, hiring manager interviews, panel loops, technical assessments, and debrief calls — for roles across multiple APAC markets and time zones
Coordinate with interviewers and hiring managers to gather availability, resolve scheduling conflicts, and minimise delays in the process
Keep the applicant tracking system up to date — including candidate status, interview feedback, and role configurations — so recruiters always have an accurate picture of pipeline health
Help document workflows and standard operating procedures as the team scales, so processes are repeatable and easy to hand off
Use AI-assisted tools where relevant to speed up scheduling, drafting, and administrative tasks
Requirements
Minimum 2 years of experience in recruiting coordination or high-volume interview scheduling, with demonstrated exposure to multiple APAC markets
Strong working knowledge of at least one applicant tracking system (e.g., Greenhouse or equivalent) and a modern scheduling tool (e.g., GoodTime, ModernLoop, or similar)
Good written communication skills — particularly the ability to craft clear, friendly, and informative candidate-facing correspondence that builds genuine rapport
Hands-on fluency with AI productivity tools, with the critical thinking to validate outputs and override them when necessary
Proactive, detail-oriented, and able to work independently with strong ownership
If you are passionate about technology and meet the above requirements, please don't hesitate to apply. Please note that only shortlisted candidates will be contacted. Appreciate your understanding. Data provided is for recruitment purposes only.
