Job Description

Responsibilities

The Tax Academy of Singapore is looking for a hands-on, technically curious and adaptable individual to support the day-to-day operational readiness of the Tax Academy of Singapore Hub and its event technologies.

Reporting to and supporting the Facilities Lead, the Executive will help ensure that the venue, facilities, equipment and AV systems are well maintained, operationally ready and fit for programmes, meetings and events.

This is a practical, hands-on role. The Executive will take ownership of routine venue setup, preventive checks, first-line troubleshooting, AV operations, vendor coordination, and technical support for physical, hybrid and livestreamed events. The role will also provide opportunities to develop capabilities in digital platforms, data and automation.

Key Responsibilities

Venue & Facilities Operations

  • Ensure the Tax Academy of Singapore Hub is maintained in a high state of operational readiness, including classrooms, event spaces, furniture, movable partitions walls, carpets, pantry facilities and supporting equipment.
  • Set up and reconfigure rooms for different programme and event requirements, including tables, chairs, movable partition walls, staging and equipment.
  • Conduct regular venue, facilities and equipment checks to identify and address potential issues before they affect programmes or events.
  • Support preventive maintenance and identify equipment or facilities requiring repair, servicing, replacement or upgrading.
  • Maintain equipment inventories, maintenance records, venue checklists, troubleshooting guides and operating procedures.

AV & Event Technology

  • Operate and support AV systems, including projectors, TVs, displays, microphones, speakers, audio mixers, cameras, lighting systems and related event technologies.
  • Perform basic audio mixing, including microphone setup, audio levels, routing, signal flow and feedback management.
  • Operate PTZ cameras and apply appropriate camera-framing techniques for presentations, panel discussions, interviews and hybrid events.
  • Support video recording, hybrid delivery and livestreaming of programmes and events to relevant online platforms.
  • Operate basic lighting controls and apply practical knowledge of stage, audience, speaker and camera positioning.
  • Conduct pre-event technical checks, rehearsals and testing to ensure systems are ready before programmes and events commence.

Troubleshooting & Vendor Coordination

  • Provide first-line troubleshooting for facilities, AV, connectivity, power, signal-loss and equipment issues.
  • Diagnose issues systematically, resolve them independently where possible, and escalate appropriately when specialist support is required.
  • Liaise directly with AV, facilities, IT, building management and equipment vendors on repairs, servicing, maintenance and technical requirements.
  • Take ownership of issues and follow through until satisfactory resolution, rather than simply escalating them to another party.
  • Identify recurring technical or operational issues and recommend practical improvements.

Digital Event & Programme Support

  • Create and administer Zoom Events, including event setup, participant pre-registration, access configuration and basic digital-event support.
  • Support trainers, speakers and participants to ensure a smooth physical and digital event experience.
  • Work with programme and event colleagues to understand requirements and ensure that venue and technical arrangements are properly configured and tested.

Data, Administration & Process Improvement

  • Assist with routine administrative and operational tasks where required.
  • Support basic data cleaning, reporting and database-related work.
  • Contribute to process-improvement, automation and other digital initiatives where appropriate.
  • Develop familiarity with the digital tools and systems used by Tax Academy and identify opportunities to improve operational efficiency.

Essential Skills & Attributes

Candidates should:

  • be hands-on and comfortable with physical venue setup and equipment handling;
  • have a strong interest in facilities, AV and event technology;
  • possess good troubleshooting and problem-solving skills;
  • be comfortable learning to operate audio, video, camera and event equipment;
  • be proactive in identifying potential problems before they affect an event or programme;
  • be adaptable and able to remain calm and resourceful when issues arise during live events;
  • demonstrate ownership and be able to follow issues through to resolution;
  • be comfortable working independently with vendors and service providers;
  • possess a strong service mindset and attention to user experience;
  • be willing to undertake both technical work and routine operational or administrative tasks; and
  • demonstrate good judgement in determining what can be resolved independently and when specialist assistance is required.

Digital & Technical Capabilities

Familiarity with the following would be advantageous:

  • Microsoft Excel, Access, VBA, Lists, SharePoint, Power BI, Azure, and related Advanced Microsoft tools;
  • Zoom Events or other digital-event platforms;
  • OBS, vMix or similar livestreaming tools;
  • analogue or digital audio consoles;
  • PTZ camera systems;
  • basic networking concepts;
  • AV signal flow and common interfaces such as HDMI, SDI, XLR, DMX, USB and Cat5e/Cat6 Ethernet;
  • structured and unstructured data management;
  • data cleaning and preparation;
  • programme languages such as SQL, Python, R, HTML, and JSON; and
  • basic understanding of relevant government ICT requirements, including the IM8 framework.

Aptitude & Attitude

Technical experience is important, but equally important is the ability and willingness to learn.

We are looking for someone who:

  • is curious about how equipment, systems and processes work, rather than simply following operating instructions;
  • enjoys investigating unfamiliar problems and working systematically towards a solution;
  • has a practical, hands-on and can-do approach;
  • takes ownership and follows through on issues;
  • learns readily from colleagues, vendors, technical documentation and hands-on experimentation;
  • is willing to build capabilities across facilities, AV, event technology, digital platforms, data and automation;
  • can move comfortably between different types of work;
  • looks for opportunities to use technology, data and automation to improve the way work is done; and
  • is dependable, attentive to detail and committed to delivering a high-quality experience for trainers, speakers, participants and colleagues.

We value aptitude, curiosity and willingness to grow alongside existing technical experience. Candidates are not expected to know every system or technology from the outset, but should demonstrate the capacity and motivation to continuously broaden their capabilities.

Fresh graduates with relevant technical qualifications and strong aptitude are welcome to apply.

Relevant backgrounds may include Facilities Management, Electrical or Electronic Engineering, Audio-Visual Technology, Media Production, Broadcast or Live Sound, Information Technology, Computer Engineering, Mechatronics, or other related technical disciplines.

Only Singapore Citizens may apply.
