Responsibilities
The Human Resource & Administrative Assistant is responsible for providing effective HR and administrative support to the Prai Plant. The role involves assisting with payroll administration, time attendance, recruitment coordination, HR documentation, employee records, general office administration, reception and other operational support.
The position requires a person who is organised, detail-oriented, responsible, service-oriented and able to handle confidential employee and payroll information with a high level of accuracy and professionalism.
A. HUMAN RESOURCE FUNCTIONS
1. Assist the HR Executive in the monthly payroll administration and ensure wages for non-executive employees are accurately calculated and processed.
2. Support the processing of monthly payroll, mid-month payroll, overtime claims and other payroll-related matters for local employees and foreign workers (OCW).
3. Assist in the administration and maintenance of the Time Attendance System, including monitoring attendance records and supporting necessary follow-up.
4. Coordinate interview arrangements, including scheduling interviews and assisting candidates upon arrival at the plant.
5. Record, monitor and ensure the complete submission of Training Requisition Forms and Manpower Requisition Forms from HODs / PICs to HQ for timely approval and processing.
6. Prepare and maintain HR letters, memos, notices and other HR-related documents as required.
7. Maintain proper filing and documentation of HR records and employee-related documents in accordance with Company and ISO requirements, including proper numbering and labelling systems.
8. Assist with general employee and HR administrative matters, ensuring requests and documentation are properly handled and followed up.
9. Maintain confidentiality and proper handling of employee, payroll and other HR-related information.
B. ADMINISTRATION FUNCTIONS
1. Act as the receptionist and handle front desk activities professionally and courteously in accordance with Company guidelines and etiquette standards.
2. Receive and attend to customers, visitors, vendors and other external parties, including assisting with arrangements such as refreshments, lunch bookings and transportation when required.
3. Prepare cheque requests for recurring plant expenses and services, including PBA, TNB, Telekom, canteen, contractors, Gas Malaysia and other relevant payments.
4. Receive and distribute incoming cheques from the Finance Department at the KL Office and coordinate with vendors and suppliers regarding cheque collection arrangements.
5. Maintain records of the Company's outgoing mails, utility bills, invoices and other documents, and arrange the submission of relevant original documents to the KL Office for cheque requisition and processing.
6. Handle all incoming and outgoing mails and courier packages, including receiving, sorting, stamping, recording, distribution and maintaining proper documentation for traceability.
7. Perform authorised banking activities, including cheque deposits, bill payments and other related transactions.
8. Issue stationery and office supplies to employees and maintain accurate inventory records.
9. Monitor stock levels of stationery, pantry supplies, toiletries, cleaning materials, tissue rolls, air fresheners, staff uniforms and other general supplies for the Prai Plant.
10. Raise Purchase Requisitions (PR) to the Procurement Department when replenishment or purchasing is required.
11. Receive and send faxes and maintain proper filing and records where required.
12. Maintain a list of regular and important callers / contact numbers and assist in making telephone calls on behalf of Company employees when required.
13. Record and maintain proper records of long-distance telephone calls where applicable.
14. Maintain the staff birthday list and liaise with the appointed cake supplier to ensure timely delivery of birthday cakes.
15. Provide general administrative and office support to ensure the smooth operation of the Prai Plant.
Education & Experience
- Minimum SPM / STPM / Certificate / Diploma in Human Resources, Business Administration, Office Administration or a related field.
- Candidates with relevant experience in HR administration, payroll or general administration will have an added advantage.
- Experience in manufacturing / plant environment is preferred.
- Fresh graduates with relevant qualifications and a willingness to learn may also be considered.
