Role Summary
Based at our Tuas South office and reporting to the Project Manager, the Project Coordinator runs the day-to-day coordination of NCPL’s building maintenance term contract — taking each work order from instruction through to completion, valuation and close-out, and keeping many small jobs moving across different buildings at the same time.
Key Responsibilities
1. Work orders and site coordination
- Receive, register and track maintenance work orders from instruction through to sign-off, and keep the work order register up to date.
- Plan daily manpower, materials, plant and transport across multiple concurrent jobs.
- Meet the response and rectification times set out in the contract, and attend urgent call-outs on a shared standby roster.
- Attend site to inspect and diagnose faults before works start, so the right trade, materials and access are mobilised the first time.
- Arrange site access — permits to work, passes, and shutdown windows with building occupants.
2. Multi-Trade Building Maintenance Works
- Coordinate multi-trade maintenance, repair, replacement and A&A works — plumbing, roofing and waterproofing, concrete repair, steelwork, carpentry, ironmongery, glazing, partitions, ceilings, floor and wall finishes, painting, drainage and associated M&E.
- Source and coordinate materials, subcontractors and specialist trades, including asbestos removal, facade cleaning, sewerage cleaning, and the annual certification of fall-arrest lifelines and anchor points.
- Carry out site measurement and verification before and after works.
3. Term Contract Administration and Claims
- Price works against the contract Schedule of Rates, and prepare star-rate items where scope falls outside it.
- Prepare daywork sheets and have them signed on site at the time of the work.
- Prepare monthly claims with measurement sheets, site records and photographic documentation; track certification and payment.
- Maintain records for variations, additional works and back-charges.
4. Documentation and Submissions
- Prepare method statements, risk assessments, safe work procedures and permits to work.
- Prepare weekly and monthly progress reports, and maintain site records and handover documentation.
- Support compliance with the Workplace Safety and Health Act and regulations, the client’s site safety and security requirements, and the company’s management system procedures.
- Undertake other duties reasonably required to support contract delivery.
Requirements
- Bachelor's Degree in Civil Engineering, Structural Engineering, Building/Construction Management or equivalent. (Minimum Diploma with 5+ years of relevant experience will also be considered.)
- Minimum 3 years’ experience in building maintenance, facilities maintenance, A&A or term contract works.
- Experience with term contracts, schedule-of-rates pricing and work order based maintenance works is a strong advantage.
- Able to read architectural, structural and M&E drawings and work from a schedule of rates or bill of quantities.
- Competent in Microsoft Word, Excel and PowerPoint.
- Strong written and verbal communication skills, with the discipline to meet deadlines and work independently with minimal supervision.
- Able to work across multiple concurrent job sites and respond to reactive maintenance requirements.
- Willing to work alternate Saturdays.
