Job Overview:
The Logistic Executive manages end-to-end procurement and export shipping operations for commercial kitchen equipment. The role ensures timely purchase order processing, accurate shipment documentation, COO applications, L/C negotiations, and banking documentation compliance. The executive negotiates with suppliers and freight forwarders to secure competitive pricing and cost-effective logistics solutions, while ensuring compliance with ISO procedures and safety policies.
Job Responsibilities:
- Liaise with the Service Team to prepare monthly export shipping schedules and coordinate with the Logistics Team on packing details for vessel bookings.
- Prepare and ensure the accuracy and timely submission of complete export shipping documentation, including Certificate of Origin (COO), Form D, Form E and other required documents.
- Follow up closely with suppliers on shipment dates and update vessel arrival information to the relevant Project and Sales Teams, as well as the ERP system, to ensure timely delivery to customers.
- Source, evaluate and negotiate with freight forwarders based on service quality, reliability and cost competitiveness.
- Handle and resolve issues, discrepancies, complaints and claims related to import and export shipments.
- Negotiate competitive freight rates based on costing quotations for all confirmed sales orders (CSO).
- Process Material Requisitions (MR) and Purchase Orders (PO) accurately and promptly.
- Ensure goods are purchased promptly upon receipt of CSO, monitor order readiness and shipment dates, and process Goods Received Notes (GRN) upon arrival within the required timeline.
- Verify import and export freight invoices against approved quotations to ensure billing accuracy, and process freight adjustments in the ERP system for month-end closing.
- Maintain ISO procedures, documentation, records, reports and filing systems in accordance with company requirements.
Job Requirements:
- Diploma in Engineering/Business Management or Logistics Management/Supply
- Chain related field equivalent
- Minimum 2 to 3 years of experience
- Proficient in MS Office, ERP/MS 365 system
- Good working knowledge in shipping incoterms and experience in L/C
negotiation
