Role Overview
We are looking for a detail-oriented and proactive Admin Officer to join our Singapore team. The role will support day-to-day administrative activities along with procurement, shipping, and logistics operations.
The ideal candidate should have strong organizational and communication skills, be comfortable coordinating with suppliers and freight forwarders, and have a good understanding of administrative and procurement processes.
Key Responsibilities
- Prepare and manage shipping documents, purchase orders, invoices, and other relevant documentation.
- Coordinate with suppliers regarding quotations, purchase orders, delivery schedules, and order status.
- Communicate and negotiate with suppliers to obtain competitive pricing and suitable commercial terms.
- Coordinate with freight forwarders, shipping agents, and logistics partners for timely movement and delivery of goods.
- Monitor shipments and provide regular updates on delivery status.
- Assist with procurement activities, including sourcing suppliers, obtaining quotations, comparing prices, and following up on orders.
- Maintain accurate records of purchase orders, supplier information, shipping documents, and inventory.
- Liaise with internal teams, suppliers, and logistics partners to ensure smooth order processing and delivery.
- Handle general administrative and documentation tasks as required.
- Ensure all documents and records are maintained accurately and in accordance with company procedures.
- Support the management team with other administrative, procurement, and operational tasks as required.
Requirements
- Diploma or Degree in Business Administration, Supply Chain, Logistics, Procurement, or a related field.
- 2–4 years of relevant experience in administration, procurement, logistics, shipping, or a similar role.
- Knowledge of purchase orders, shipping documentation, freight forwarding, and supplier coordination.
- Strong communication, negotiation, and follow-up skills.
- Good command of written and spoken English.
- Proficiency in Microsoft Office, particularly Excel and Word.
- Strong attention to detail and ability to manage multiple tasks and deadlines.
- Ability to work independently as well as coordinate effectively with different teams.
- Experience working with suppliers and international shipments will be an advantage.
Work Eligibility
Candidates must have valid authorization to work in Singapore.
Pay: $1,800.00 - $2,500.00 per month
